Job Opportunity:
Berkshire Hathaway Specialty Insurance (BHSI) has an exciting opportunity for an experienced on-site Office Administrator to handle Administrative Assistant & Receptionist duties for their New York office location. The Office Administrator will assist with onsite visitors and guests as well as coordinate internal and external meetings. Position will also be responsible for providing administrative support such as travel planning and expense reporting for senior team members and managing general operational duties for two floors in the NY branch office. Additional duties include:
Duties & Responsibilities:
Receptionist Responsibilities:

Provide phone coverage & triages calls as necessary

Coordinate and assist with internal & external meetings
-
Manage catering vendors and set up for lunches and meetings
-
Visitor registration, greeting and assist onsite teammates and guests
-
Manage, sort and distribute incoming and outgoing mail including USPS, Fed Ex and UPS
-
Oversee floor plan and seating of teammates. Set up computer equipment in workstations

Interact with Building Management and coordinate maintenance and repairs
Administrative Assistant Responsibilities:
-
Provide administrative support for three senior executives and other New York teammates as needed
-
Coordinate travel arrangements including accommodations, air/ground transportation, expenses, and logistics

Expense Reporting. Answer questions and provide support for Concur, our travel and expense system

Assist with meeting agendas, projects, and collaborating with the marketing team and Boston team

Special projects as needed
Office Administrator Responsibilities:

Manage the schedule and maintenance for the office conference rooms and shared office space
-
Order office supplies and provide onsite management of office equipment (telephone, printers, workstations, etc.)

Manage equipment and space needs for all New York new hires

Handle the programming and distribution of office key cards

Ensure paper is well stocked in all copy/printers

Monitor inventory and order kitchen, office, mailing and cleaning supplies as needed

Coordinate day to day facilities and office maintenance tasks, including communication with vendors

Special projects as needed
Qualifications, Skills, and Experience:
-
3 – 5 years administrative assistant experience
-
Superior verbal and interpersonal communication skills
-
Proficiency in Microsoft Office products
-
Experience with travel and expense applications
-
Self-motivated and able to work independently while meeting assigned deadlines

Excellent administrative and organizational skills

The base salary range for this position in New York is from $55K to $65K, along with annual bonus eligibility; a candidate’s salary is determined by their relevant skills and experience. We value our teammates – both their capabilities and character – as demonstrated by our amazing culture.
