Responsibilities:
o Greet and assist visitors in a professional and friendly manner.
o Manage incoming calls, emails, and correspondence, redirecting them as necessary.
o Monitor incoming and outgoing faxes, FedEx and USPS packages and mail.
o Maintain cleanliness and organization of the reception area, kitchens, and all other shared spaces around the office.
o Provide administrative assistance to executives and managers, including calendar management, travel arrangements, and expense reporting.
o Prepare and edit correspondence, reports, and presentations as required.
o Manage office and kitchen supplies and equipment, ensuring availability and functionality.
o Schedule and coordinate meetings, appointments, and conferences.
o Prepare meeting agendas, materials, and follow-up documentation as needed.
o Prepare binders, proposal booklets and tabs for account analysts and managers.
o Arrange for catering and logistics for meetings and events.
o Maintain and update contact lists, databases, and filing systems.
o Run and send Motor Vehicle Records, Certificates of Insurance and Auto ID Cards
o Manage confidential information with discretion and integrity.
- Support Team Collaboration
o Collaborate with other administrative staff to ensure seamless office operations.
o Assist with special projects and initiatives as assigned.

Qualifications:
- Proven experience as a receptionist, administrative assistant, or similar role.
- Excellent communication and interpersonal skills.
- Experience in a corporate or executive environment preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management abilities.
- Attention to detail and problem-solving skills.
- Ability to multitask and prioritize tasks effectively.
- Discretion and confidentiality in handling sensitive information.
- Bachelor's degree in business administration or related field preferred.
