Job Summary:
We are seeking an organized Sales Assistant to support our Sales Manager in various administrative tasks. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. This role involves managing phone calls, emails, scheduling on-site meetings, coordinating with vendors, and overseeing activities within the public MLS.
Key Responsibilities:
1. Phone and Email Correspondence:
- Answering and directing phone calls.
- Managing and responding to emails promptly.
- Providing information to clients and vendors as needed.
2. Scheduling:
- Coordinating on-site meetings with clients, prospective buyers, and vendors.
- Managing the Sales Manager's calendar and appointments.
- Ensuring timely and efficient scheduling to optimize productivity.
3. Vendor Coordination:
- Liaising with vendors to schedule meetings and coordinate services.
- Assisting in the procurement process and maintaining vendor relationships.
- Ensuring seamless communication between vendors and the Sales Manager.
4. Public MLS Management:
- Handling all activities within the public MLS.
- Uploading and updating property listings with accurate and compelling information.
- Monitoring and responding to inquiries from potential buyers or their representatives.
5. Document Management:
- Assisting in the preparation and organization of sales-related documents.
- Maintaining accurate and up-to-date records of client interactions.
Qualifications:
- High school diploma or equivalent; additional education or training is a plus.
- Proven experience in administrative or assistant roles, preferably in a real estate or home building environment.
- Excellent organizational and time-management skills.
- Strong communication skills, both written and verbal.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with MLS platforms.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented with a high level of accuracy.
- Possession of an active Tennessee real estate license is a mandatory requirement for this position.
- The candidate should be familiar with local real estate regulations, processes, and the Tennessee Multiple Listing Service (MLS).
- Previous experience in the real estate industry with a valid TN real estate license is highly preferred.
Work Schedule:
- Monday to Wednesday: Office hours
- Thursday and Friday: Half days in the office
- Saturday and Sunday: On call to show homes
