POSITION SUMMARY:
Under supervision, processes reports, public requests and other legal documents. Reviews records for compliance and accuracy in automated records managements systems. Generates correspondence, and various other forms; and performs customer service with tact, diplomacy, honesty, respect and ethical behavior. Ability to make decisions on policies, procedures, and laws pertaining to the Open Records Act and TX DOT laws governing crash reports.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Ensures consistent delivery of excellent customer service to citizens, visitors and city employees.
- Responds to public inquiries, receives and directs all non-emergency calls to appropriate personnel.
- Communicates in a timely and professional manner, in person and via telephone, with citizens, visitors, city employees, vendors, applicants and the general public, representing the best interest of the City and anticipating needs and resolving customer service inquires, complaints and other issues.
- Conducts a variety of general office duties, including preparing correspondence and receipt of deliveries.
- Monitors lobby and is active in presenting a professional, organized, and comfortable environment for our citizens, visitors, vendors, applicants and general public.
- Assists officers and other local, state and federal agencies in researching information, records and dispatching calls for service in the lobby.
- Collects statistical data and verifies case reports for compliance and accuracy with state and federal guidelines under the Uniform Crime Reporting/National Incident Based Reporting procedures.
- Manages all police files and attachments.
- Processes open records requests according the Open Records Act and accident reports in accordance with TX DOT laws and regulations.
- Conducts background checks and issues Clearance Letters for arrests occurring in the City’s jurisdiction.
- Prepares investigative case files to be forwarded to prosecutor’s offices in three counties. Ensures that case files are complete and all needed information for prosecution is included.
- Assists in the disposal of obsolete files in accordance with established retention schedule and legal requirements.
- Assists in maintaining and administering the alarm permit or other specialized programs.
- Reviews and accepts requests and forms, issues permits.
- Receives and creates receipts for cash, currency, and checks.
- Receives, sorts, and distributes mail.
- Testifies in court on behalf of the Police Department as needed.
- Maintains the absolute confidentiality of all records and information.
- Performs other duties assigned.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- High school diploma or general education degree (GED).
- Must be at least 18 years of age.
- Two (2) years clerical experience with a primary emphasis in customer service.
CERTIFICATIONS AND LICENSES REQUIRED:
- Must possess a valid Texas Driver’s license.
JOB-SPECIFIC HEARING REQUIREMENTS:
Employee must take an audiometer test and meet specified hearing standards.
1. Average hearing loss of 25 decibels (ANSI) at 1000, 2000, and 3000 Hertz
2. Single reading of 35 decibels at 1000, 2000, and 3000 Hertz
3. Single reading of 35 decibels at 500 Hertz
4. Single reading of 45 decibels at 4000 Hertz
JOB-SPECIFIC SIGHT REQUIREMENTS:
Employee must have uncorrected vision of no worse than 20/200 in each eye, corrected to 20/20 vision in one eye and not worse than 20/40 vision in the other eye. If an individual has a satisfactory history of soft contact lens wear for more than one year and is able to meet correction to 20/20 in one eye and no worse than 20/40 in the other eye, safety concerns are considered mitigated.
Must be able to successfully complete the Farnsworth D-15 color vision test.
