Seeking a highly organized and detail-oriented person to join and support our team. Must possess organizational and computer skills; attention for detail and be professional and courteous. In this position the individual will assist with general office duties; communicate with Vendors; Clients; Suppliers and Subcontractors. Schedule meetings; produce and track schedules; manage calendars and analyze and reconcile spreadsheet data.
Duties:
- Take messages from email and direct to appropriate individuals
- Schedule estimates and maintain calendars
- Transcribe notes and documents accurately
- Manage and organize office files and documents
- Perform data entry tasks using various software programs
- Provide customer support and address inquiries or concerns
- Assist with billing and invoicing
- Coordinate client meetings
- Perform general clerical duties such as photocopying, faxing, mailing, and filing
- Proofread documents for errors and inconsistencies
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in computerized systems such as Microsoft Office Suite Word, Excel
- Excellent written and verbal communication skills
- Attention to detail and accuracy in transcribing information
- Customer service-oriented with the ability to handle inquiries professionally
- Ability to manage calendars and schedule appointments efficiently
