Reports To: Document Control Manager
Job Overview: As a Document Control Specialist at BioLab Sciences, you will play a pivotal role in managing and organizing all company documents and records. Your primary responsibilities include ensuring document accuracy, accessibility, and security, while implementing and maintaining robust document control procedures. Collaborating closely with various departments, you'll streamline document management processes and uphold compliance with regulatory standards.
Essential Functions:
Document Management:

Organize, maintain, and update all company documents, including policies, procedures, forms, and reports.
Version Control:
- Maintain accurate version control of documents, ensuring that only the latest revisions are accessible to authorized personnel.
Document Retrieval:
- Facilitate easy document retrieval by implementing efficient filing systems and document indexing.
Document Distribution:
- Coordinate the distribution of documents to appropriate personnel, ensuring timely dissemination of critical information.
Compliance:
- Ensure adherence to relevant industry regulations and standards in document management practices.
Training and Support:
- Provide training and support to staff on document management procedures and software tools.
Audit Preparation:
- Prepare documents and records for internal and external audits, ensuring compliance with audit requirements.
Continuous Improvement:
- Identify opportunities for process enhancement and implement improvements to optimize document management workflows.
Confidentiality:
- Maintain strict confidentiality of sensitive documents and information in accordance with company policies and legal requirements.
Required Qualifications:

Bachelor's degree in business administration, information management, or related field preferred.

Proven experience in document control, records management, or related roles.

Strong attention to detail and accuracy in document handling and data entry.

Proficiency in document management software and the Microsoft Office suite.
