Introduction:
We are seeking a reliable and experienced Medical Front Desk Team Lead to join our ENT (Ear, Nose, and Throat) office. As a pivotal member of our administrative team, you will be responsible for overseeing the daily operations of the front desk, ensuring smooth patient flow, and providing leadership to a team of medical receptionists.
Responsibilities:
- Supervise and coordinate the activities of the front desk staff to ensure efficient patient service.
- Train new front desk employees on office procedures, customer service standards, and use of medical software.
- Monitor and manage patient scheduling to optimize appointment availability and minimize wait times.
- Resolve patient inquiries, complaints, and issues promptly and professionally.
- Ensure accuracy in patient registration, insurance verification, and billing processes.
- Maintain cleanliness and organization of the front desk area and waiting room.
- Collaborate with medical staff and other departments to improve patient care and office efficiency.
- Handle confidential patient information with sensitivity and in accordance with HIPAA guidelines.
- Prepare reports on front desk operations, including patient volumes, wait times, and staff productivity.
- Assist in recruiting, hiring, and evaluating performance of front desk staff.
Requirements:
- Proven experience (minimum 2 years) as a Medical Front Desk Team Lead or similar role in a healthcare setting, preferably in an ENT office.
- Excellent leadership and interpersonal skills with the ability to motivate and mentor a team.
- Strong knowledge of medical terminology, procedures, and insurance protocols.
- Proficiency in medical software and electronic health records (EHR) systems.
- Exceptional organizational and multitasking abilities in a fast-paced environment.
- Ability to handle stressful situations calmly and efficiently.
- High school diploma or equivalent; additional certification in healthcare administration is a plus.
