We are a family owned commercial & residential door repair business. We are looking for an experienced quotes specialist with excellent forward facing customer service experience. This job is full-time, 5 days a week Monday - Friday. Commencement pay is dependent on experience and will be re-evaluated during your 90 day probation period.

- Monday - Friday 7am-4:00pm (1 position)
Job responsibilities are not all encompassing and are expected to evolve once your skillset, strengths and area of expertise are demonstrated:
- First point of contact on phones, answer all incoming calls
- Create new customer accounts in our CRM
- Create new job repair service requests
- Troubleshoot warranty claims for completed jobs
- Create descriptive notes in customer accounts
- Schedule new jobs
- Maintain the productions/job calendar
- Maintain parts inventory; initiate parts quote requests from vendors, place parts orders, schedule parts pick up, update inventory list
- Main internal price list; parts cost, vendor information, parts description
- Create quotes/proposal for work to be done utilizing technical and financial knowledge and attention to detail, sending quotes and tracking whether they're approved and ready to be scheduled
- Create and maintain quotes/proposal management database to track outgoing & incoming approved proposals
- Understand the customer's requirements related to the scope of work to ensure all liabilities and materials (e.g.: equipment needed for the scissor lift, boom ladder) for completion of job are considered and factored into the quote/proposal (e.g.: RFI- Request for Information, RFQS- Request for Qualification or RFP- Request for Proposal as they may have their own proposal that requires signing)
- Schedule jobs for approved proposals always ensuring parts are in
- Dispatch; send out customer email notification day before Tech arrives, call customer 30 minutes before Tech arrives
- Lead point of contact for Door Technician; communication ETAs, document real time notes from Technician into customer account, provide Door Technician with jobs scheduled information, work crew notes, materials list for materials needed for the job
- Manage all incoming customer & vendor emails, respond in a timely manner
- Payment processing: customer calling in or emailing to make a payment or requesting an invoice for completed job
- Aging calls; contacting customers for past due invoices for completed jobs, as needed
- Ability to deescalate and diffuse situations internally & externally
Requirements:
- Ability to type at least 40 words per minute
- Proficient in Microsoft Office: Excel, Outlook email, Internet use
- Customer service phone etiquette, welcoming and courteous over the phone
- Must demonstrate patients and problem solving skills
- Must demonstrate spirit of collaboration working as an integral part of the team
- Comfortable working closely with owner/operator and taking directives
- Comfortable working in a small office setting
- Ability to work in a fast paced, time sensitive environment while maintaining a positive attitude
- Attention to detail, self starter who takes initiative
- Must be adaptable, flexible to change
- Must be understanding and willing to adhere to company policy (e.g.: strict no personal cell phones policy)
- Willing to roll up their sleeves and help as needed
- Must be willing to work overtime as needed
- Must be available one Saturday on a quarterly basis for company wide training
- Must be available to come in at 7am once a month for company wide staff meeting
