As we continue to expand our portfolio and presence in the market, we are seeking a highly skilled individual to provide comprehensive support to our CEO.
Position Overview: As the Executive Support Specialist to the CEO, you will play a pivotal role in ensuring the smooth and efficient operation of the executive office. You will be responsible for managing a wide range of administrative and executive support tasks, enabling the CEO to focus on strategic initiatives and key business priorities. This is an exciting opportunity to work closely with senior leadership in a fast-paced and dynamic environment.
Key Responsibilities:
- Act as the primary point of contact for internal and external stakeholders, including investors, clients, and business partners, demonstrating professionalism and confidentiality at all times.
- Manage the CEO's calendar, appointments, and travel arrangements, ensuring efficient scheduling and coordination of meetings, conferences, and events.
- Prepare and organize materials for meetings, including agendas, presentations, and reports, and follow up on action items as necessary.
- Be networking oriented and be able to help at events/conferences with a business development mindset. Up to 30% travel expected in this regard.
- Conduct research and compile information on various topics to support decision-making processes and strategic initiatives.
- Handle correspondence and communications on behalf of the CEO, including emails, phone calls, and other inquiries, with attention to detail and accuracy.
- Assist with special projects and initiatives as assigned, collaborating with cross-functional teams to drive results and meet deadlines.
- Maintain confidential files and records, exercising discretion and integrity in handling sensitive information.
- Proactively identify opportunities to streamline processes, improve efficiency, and enhance the effectiveness of the executive office.
Qualifications:
- Bachelor's degree.
- Proven experience (of 3 to 5 years) as an executive assistant or similar role.
- Strong organizational skills with the ability to prioritize tasks and manage multiple priorities in a fast-paced environment.
- Excellent communication skills, both written and verbal, with a professional and polished demeanor.
- High level of proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Monday, Slack etc.
- Demonstrated ability to exercise discretion, maintain confidentiality, and handle sensitive information with tact and diplomacy.
- Detail-oriented with a focus on accuracy and quality in all work deliverables.
- Proactive and resourceful problem-solver with a positive attitude and strong work ethic.
- Interest in people-centric responsibilities while being capable of working independently with minimal supervision.
