Dental Office Coordinator
Summary
The Office Coordinator works closely with the doctor and staff to assure that the aspects of the practice associated with patient flow and patient financials are function in an orderly and proficient manner. The Office Coordinator communicates the practice philosophy through systems, problem solving and communication. As a conduit of information between doctors, patients and staff, the Office Coordinator strives to bring out the best in the entire staff.
Essential Duties and Responsibilities

- Promptly and warmly greet patients as a welcomed guest to the office.
- Manage overall office schedule
- Utilize Dental Intel
- Primarily responsible to answer the telephone in a professional and courteous manner to patients and co-workers using superior customer service skills. Communicate messages as needed. Promptly respond to voicemails, emails and texts.
- Provide any necessary instructions/directions to patients and politely answer questions
- Create new patient/family accounts as needed
- Accept emergency patient calls and triage them to provide them with prompt service.
- Arrange appointments with the correct amount of time and accommodates both patients and staff in scheduling. Rescheduling appointments when Dr./Hygiene is out of the office.
- Schedule office visits reminding patient of co-pay, lab fee, or other payment due.
- Build Financial Agreements from the Treatment Plan. Be aware of and communicate limitations and maximums to patient.
- Smile Assist enrollment as needed
- Follow up on Bad Debt Write Off packets
- Provides overall excellent customer service
- Follow up on denials, appeals and insurance requests for additional information
- Communicates properly to other team members using events and Office Journal and G notes in Dentrix.
- Process Solution Reach/Smile Reminders for patients.
- Conducts recalls of patients to schedule follow-up care and generate reports for doctors
- Review patient charts in preparation for next day.
- Manage outgoing and incoming referrals
- Request patient reviews
- Complete prescriptions as directed by the Doctor.
- Direct patient to Financial Coordinator as needed for payment plan or collection issues. Work with Financial Coordinator in collecting payment from patient to prevent having to send to collection. Responsible to collect from the patient if the Financial Coordinator is unavailable.
- Maintain accurate patient records: scan signed forms into electronic chart, document conversations, etc.
- Submit pre-authorizations, medical insurance claims and dental claims and utilize Fastattach for electronic claims
- Reconciles end of the day reports/daysheets.
- Familiar with and enforces patient privacy and HIPAA Compliance.
- Post charges, calculate discounts properly and make adjustments as needed
- Run summary report and review
- Follow policies in RDG’s Employee Handbook as well as operational/ safety policy and procedures.
- Maintain a clean and organized desk on a daily basis. Ensure supplies are stocked as needed.
- Enhance own professional development.
- Ensure internal and external communications by attending meetings, committees, etc.
- Perform other assigned duties as requested.

Pay: $19.00 - $26.00 per hour
