An administrative assistant provides vital support to the various merchandising departments and buying staff.
This individual must be highly motivated, detail oriented, organized, enthusiastic, a team player, have strong written/oral communication and time management skills, be able to multi-task, problem solve and take initiative. An administrative assistant must be proficient in MS Excel and all company software programs. This individual must be able to demonstrate service excellence with fellow merchandising associates, store associates, vendors and customers.
Responsibilities include the following:
- Assist buyers/merchandise manager with various tasks and special projects
- Support and implement general direction and goals of the merchandising department
- General administrative assistant duties as assigned
- Prepare, process and maintain vendor information and item authorizations
- Maintain price and attribute integrity of item records
- Write, process, distribute and maintain purchase orders
- Determine best purchase quantities using past sales data and trends
- Manage balancing of stock
- Analyze stock levels and identify products that need reorders
- Identify and input markdowns and in-store specials
- Update, reorder and maintain items
- Write and email memos, control cards, new product presentation checklists, planograms, etc.
- Assist stores in obtaining satisfactory answers to questions or problems in a timely manner
- Secure resolution to vendor claims, damages, and invoice discrepancies
- Distribute reports to appropriate stores or persons
- May be asked to attend store visits
- May be asked to attend vendor meetings
- May be asked to attend select local trade shows
- May be asked to attend select store resets
- Promote and ensure effective communication and feedback at all levels
- Follow the World Class Service company roles, expectations and behaviors
