Main Responsibilities:
- Construction Budgets: Collaborating with project managers to maintain and update construction budgets as projects progress.
- AIA Pay Applications (AIA Contract): Collaborating with project managers to accurately prepare and submit Pay Applications as required by the AIA contract and AIA format. This includes requesting invoices from subcontractors and managing waivers and lien releases.
- Assisting Project Managers with Leveling Sheets: Providing support to project managers in preparing leveling sheets, producing buy-out documents, maintaining buy-out logs and documenting approvals on the budget.
- Processing Work Authorizations: Documenting and preparing change orders, ensuring accurate records of modifications to project scope, budget, or timeline. Maintaining a work authorization log and integrating approved changes into the budget.
- Coordinating Subcontractors Documentation
Secondary Responsibilities:
- Supporting Bookkeeping and Accounting: Providing support for the company's bookkeeping efforts related to construction projects, collaborating with affiliated management accounting services. Maintaining organized records of project finances for both internal and external auditing and tax-related requirements.
- Financial Data Support: Collaborating on the analysis of project financial data to identify trends and potential issues, providing input to enhance project profitability.
- Vendor Communication: Assisting in fostering relationships with vendors to explore better pricing options and potential new products, contributing to cost-effective procurement.
- Field Personnel Coordination: Coordinating and communicating with construction field personnel to facilitate smooth information flow.
- Additional Responsibilities: Undertaking any other tasks or duties assigned by supervisors or managers to contribute to project success.
Qualifications
- Degree in accounting is preferred or 5 years of experience in CONSTRUCTION accounting.
- Construction accounting experience is a must.
- General knowledge of standard construction practices.
- Familiarity with waiver and lien release processes.
- Basic understanding of AIA contracts is a plus.
- Proficiency in Microsoft Office applications at an advanced level.
- Knowledge of Quickbooks Desktop is required.
- Positive professional attitude and strong customer service skills
- Ability to organize and manage multiple tasks
- The company manages project administration through Procore. Familiarity with Procore is preferred. Training is available for this software.
