Branch Business Administration
Location: Lynn - Demakes Building
Salary: 50k - 60k
FLSA Status- Full Time- Exempt
POSITION SUMMARY:
This position supports the work of the branch by insuring smooth operation of financial and data management operations. This position also serves as the liaison between the branch and the Association business office with regard to all financial transactions and processes. Ensures all Metro North business procedures are followed at the branch.
ESSENTIAL RESPONSIBILITIES/PRINCIPLE ACTIVITIES:

Responsible for all Branch Account Receivables. Methods of collection include but are not limited to the production of letters, invoices, phone calls, emails, alerts on accounts and bad debt write-offs. Work closely with other Branch Directors to ensure consistency and collaboration.

Follow-up with all billing inquiries and provide customer service through explanation and/or resolution (refunds) if necessary. Follows established Metro North SOPs regarding the issuing of refunds. Review and obtain approval for refunds through Chief Financial Officer and/or Branch Executive Director.

Work with Program Directors to help organize and facilitate open houses and community engagement, responsible for helping drive the enrollment of both Y Academy Programs and camp to achieve annual revenue goals.

Process all enrollment paperwork for Y Academy Programs

Communicate via emails and monthly meetings, all new enrollments to Subsidy Administrator.

In coordination with Program Directors, schedule/Facilitate orientations with all incoming Y Academy families.

Maintain various weekly and monthly reports, including but not limited to FTE, Outstanding AR, collection Calls to Make

Update Accounts based on changes to parent fees.

Assist with involvement and preparation of special events, publications and advertising as needed and by working with other managers pertaining to Y Academy Programs.

Facilitate Bi-weekly meeting with Y Academy Program Directors.

Implement and maintain system of Y Academy and Youth Center best practices and policies regarding forms, enrollment, waitlists, tuition drafts, payment adjustments, payment plans, terminations, changes in SGA, etc.

File maintenance and management

Facilitate SGA Audits of childcare participants and their information.

Additional project and duties as assigned by Branch Executive Director.

Reviews the daily cash reconciliation. Makes Branch bank deposits twice per week and submits required paperwork to business office. Ensures Welcome Center has appropriate change and small bills for daily operations.

Coordinates the billing and issuance of invoices to all annual members, as well as group home and 3rd party payee members (ex: DCF, Staywell, Centerboard etc).

Oversees office functions such as ordering office equipment and supplies, petty cash etc.

Responsible for SGA database at branch level, including entering program data.
EDUCATION AND EXPERIENCE:

Associate Degree preferred.

Two years or more years related business management or office management experience preferred.

Proficient in Microsoft Excel.

3-5 Years of organization skill work

Demonstrated understanding of accounting and membership systems, i.e SGA, CCFA.

Excellent written and communication skills

Strong collaboration skills

Bilingual language skills preferred.
