The Vision & Conceptual Development Center has an immediate need for a Patient Care Coordinator for this existing position within our small and growing business. The Patient Care Coordinator (PCC) is a full-time customer facing role, serving as the main point of contact for patients. You will be scheduling and coordinating patient onboarding and appointments. Strong communication, including listening, written, and verbal skills combined with the drive to facilitate patient scheduling processes will ensure you find success in our company.
Day to day duties for the PCC include making discovery calls to convert prospective patients into new patients. Additionally, this position facilitates and supports Vision Therapy orientation, vision therapy contracts, receiving and processing payments.
This position works in close communication with the Accounting Administrative and the Administrative Assistant to ensure that all billing, claims and appropriate discounts are documented correctly in the patient's files and notes. This role serves as back-up support for our Front Desk position.

This role will be working independently to drive project completion and in collaboration with the VCDC team by exemplifying professionalism and compassion in all interactions.
Responsibilities include:
- Make scheduled discovery calls to ensure prospect understanding and conversion to appointment.
- Schedule next step appointments for new and existing patients including rescheduling.
- Document and track patient treatment path and monitor for progression.
- Facilitate onboarding documents collection and coordination.
- Conduct Vision Therapy Orientation calls for new patients.
- Serve as the first point of contact for patient inquiries.
- Coordinate patient's check in/ check out including therapist/doctors notification, payment collections, next step/ follow up scheduling – as backup; this is primarily done by the Front Desk Administrator.
- Coordinate patient records request and documentation collection.
- Coordinate timely communications for all patient care needs including telephone calls, email, and provider requests.
- Monitor and coordinate the scheduling calendar to create best practices and appropriate appointment blocks.
- Create, update, and monitor client files to ensure they are complete and accessible.
- Attend all meetings as scheduled, prepared and timely.
- Prepare for the next business day schedule including pulling doctor charts, correct paperwork, and communicate with the team as needed to support front desk staff
- Coordinate patient flow from the weekly patient list for all doctors including scheduling appointments, updating notes, requesting needed records and communicating with patients.
- This position reports to the Operations Manager and works on projects as assigned.

Ideal Candidates will:
· 3 years minimum inbound sales experience.
· 2 years minimum scheduling experience.
· 3 years minimum customer service.
· Excellence working with Microsoft Teams and online business solutions.
· Excellent organizational skills.
· Demonstrate strong verbal and listening communication skills.
· Display professionalism and empathy.
Preferred, but not required:
· Medical industry experience.
· Understanding of medical claims funding such as Medicaid, Private Pay, etc.
Benefits and compensation:
This full-time position is salaried and pays $22-25 and hour dependent upon experience.
