As an Event Coordinator, you will play a crucial role in supporting the day-to-day operations of our private events department. You will work closely with the Private Events Director to ensure that all events are executed seamlessly and to the highest standards of quality. This is an exciting opportunity for an individual who is passionate about event planning and eager to gain hands-on experience in the industry.
Responsibilities:
- Provide administrative support to the Private Events Director, including managing calendars, scheduling appointments, and handling correspondence.
- Assist in the coordination and execution of private events, including venue selection, vendor management, and logistics planning for multiple venues.
- Prepare event materials, including contracts, proposals, and presentations, menus, ensuring accuracy and attention to detail.
- Communicate effectively with clients to gather event requirements, preferences, and feedback.
- Assist in the creation of event timelines, budgets, and checklists, and ensure adherence to deadlines and financial targets.
- Coordinate with culinary teams, front of house teams, and venue managers.
- Conduct research on event trends, venues, and vendors to support event planning efforts.
- Assist with on-site event management, including setup, breakdown, and coordination of staff and vendors.
- Maintain accurate records of event details, expenses, and client communications.
Requirements:
- Bachelor's degree in Hospitality Management, Event Planning, or related field preferred.
- Previous experience in event planning, administrative support, or hospitality management is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and event management software (Tripleseat experience preferred.)
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Positive attitude, willingness to learn, and ability to work effectively in a team.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
