About the position:
TJFACT is seeking a well-versed Operations Analyst II to join our Team at the CDC (Center for Disease Control and Prevention) in Atlanta, Georgia to support the DGHP Office of the Director.
The Operations Analyst will provide administrative, technical, and professional support services to DGHP Office of the Director (DGHP OD) staff and supported branches: the Global Public Health Systems Branch (GPHSB), the Global Surveillance, Laboratory, and Data Systems Branch (GSLDSB), the Global Workforce Development Branch (GWDB), the Global Program and Extramural Management Branch (GEM), and the Global Public Health Emergency Preparedness Branch (GPHEPB).
Duties and Responsibilities:
The Operations Analyst duties will include but are not limited to the following:
- Office Management: Maintain stock of office supplies. Solicit needs from DGHP/OD staff. Prepare and submit orders for supplies, equipment, and training materials (e.g., textbooks, journals, online courses, recertification exams, etc.). Prepare and submit CCPS purchase request forms and any required supplementary documentation to DGHP.
- Manage Accounting Credit Card System MACCS Cardholder for purchase. When training requests are required, work with DGHP administrative staff responsible for DGHP training requests to assure approval.
- Oversee and maintain at least one DGHP floor copier, printer, scanner (daily: Assure is in working order, keep loaded with paper and toner, and request service technician when needed).
- Support DGHP Property Custodian to track, inventory, excess, maintain, replace DGHP staff IT and office equipment. Work with DGHP POC to assure DGHP staff have necessary communication equipment and software (cellular devices, smart-phones, desk phones, TEAMS accessories). Work with OCIO to ensure DGHP staff have the necessary and functional computer equipment and software.
- Assist with in/out processing of personnel and turn-key services for DGHP staff. Work with DGHP management, OCIO, HRO, OSSAM and others to arrange appropriate office space accommodations, including information and communication technology equipment, CDC directory listing/updates, door signage, etc., for DGHP staff.
- Submit building/office maintenance repair, installation, etc., request via CDC IFMS system. Follow-up to assure satisfactory completion. Obtain office keys from CDC locksmith.
- Support and serve as NCAMS Coordinator for their supported DGHP Teams/Branch and Field offices.
- Assist in all travel preparation. Secure reservations, flights, rental cars, etc., and enter domestic and international travel orders into CDC’s CONCUR travel system. Monitor travel orders and work with Omega Travel Office, DGHP travel staff, including the Global Travel Office as necessary, to ensure timely processing and approval. Prepare and submit travel vouchers and assure they’re processed in a timely manner.
- Serve as Integrated Conference Attendance Portal (CAMS) POC for DGHP/OD, teams, and supported branch staff. Review travel requests to determine whether CAMS approval is required or not. If so, obtain required information from travelers and input attendance requests as necessary in CAMS. Track to assure acceptance/approval in advance of the scheduled departure date.
Minimum Requirements:
- Bachelor’s Degree in Business Administration or relevant field OR equivalent years of experience.
- Minimum three (3) or more years of experience in performing listed tasks.
- Ability to manage multiple tasks and change of priorities.
- Ability to learn and become proficient in use of the CDC automated administrative systems.
- Ability to analyze administrative problems to identify significant factors, gather pertinent data, and recognize solutions.
- Communicate effectively orally and in writing.
- Ability to interact and aid government staff and customers around the world with the utmost courtesy and professionalism.
- Critical thinking skills and attention to detail and deadlines required.
- Strong organization and professional maturity.
- Possess a strong work ethic, flexibility, optimism, creativity and personal motivation.
- Ability to work independently and collaboratively with various team members.
- Proficient in using Microsoft Office applications.
