Overview: We are seeking a detail-oriented and organized Lead Front Desk Office Administrator to join our team. The ideal candidate will have extensive experience in dental office settings, possess strong organizational skills, and demonstrate a steadfast commitment to delivering exceptional patient service.
Responsibilities:
- Oversee the meticulous management of dental records, ensuring accuracy, confidentiality, and compliance with regulatory standards. Utilize Curve software proficiently for streamlined administrative tasks.
- Efficiently coordinate and schedule patient appointments to optimize clinic productivity and maintain smooth patient flow throughout the day.
- Uphold strict adherence to HIPAA regulations, overseeing office-wide compliance for patient privacy and data security.
- Provide exemplary patient service at the front desk, greeting patients warmly, addressing inquiries and concerns promptly, and ensuring a welcoming environment.
- Assist with general office duties, including answering phones, responding to emails, and managing office supplies inventory.
- Supervise and mentor a team of 8-10 employees, providing leadership in training new hires, conducting regular performance evaluations, and facilitating ongoing training sessions to enhance team skills and knowledge.
- Keep up with daily reports and end-of-month reports to ensure comprehensive tracking and analysis of office operations.
- Verify insurance information (Ins verifications) to facilitate smooth billing and payment processes.
- Create a weekly schedule for the team to optimize coverage and operational efficiency.
- Collaborate with the clinical lead in administrative tasks to support seamless patient care delivery.
- Conduct daily huddles to align the team on priorities, goals, and challenges.
- Plan and conduct training sessions, including monthly training programs, to enhance team competencies and compliance with office protocols.
- Manage incoming mail and coordinate the deposit of checks.
- Effectively deescalate situations involving upset or disgruntled patients or parents.
Experience:
- Essential prior experience as a Dental Receptionist, with a deep understanding of dental terminology, procedures, and office workflows.
- Proficiency in office phone systems and other essential administrative tools.
- Strong organizational skills with meticulous attention to detail, ensuring accurate record-keeping and efficient office operations.
- Proven ability to manage a diverse team, foster a positive work environment, and resolve challenges effectively.
