Summary: The Recruiting Department Assistant will work closely with the Director of Recruiting and is responsible for providing administrative support to the Recruiting Team. This role will include managing the applicant tracking system (ATS), oversight of job descriptions and advertising implementation, coordinating department wide initiatives, and the handling of candidate driven marketing initiatives. In addition, the Recruiting Department Assistant will be a self-starter, pro-active, and able to take the lead on tasks with minimal direction.
Duties and Responsibilities include the following:
1. Managing the active candidate pipeline, and data entry before and after interviews.
2. Writing of Job descriptions and editing currently posted job descriptions
3. Upload all applications into the applicant tracking system.
4. Draft candidate email blasts, position opening announcements and mailing list maintenance.
5. Provide daily, monthly and weekly reporting on recruiting goals for the department. Maintain and compile productivity reports from the department.
6. Maintaining of job advertising campaigns as directed by the Director of Recruiting:
- Work with the management team to draft and refresh job all job descriptions on a weekly basis.
- Monitor the Budget and activity by sending end of Week Reports to Director of Recruiting and Chief Administrative Officer
- Edit Job Postings and descriptions as requested
- Provide real-time feedback on poor performing job postings
7. Communicate effectively with candidates and vendors when needed.
8. Responsible for all calendar management and department meeting minutes.
9. Provide vendor and contract related support to the Director of Recruiting.
10. Issue Tully Rinckey Support Staff employment offers to perspective candidates.
11. Maintain all offer letter templates.
12. Handling of candidate driven marketing initiatives with assistance from Tully Rinckey Internal Marketing Department:
- Social Media Postings
- Candidate E-Blasts and hiring announcements
- Hiring Events
13. Assist with compiling Monthly Reporting numbers for Director of Recruiting and Chief Administrative Officer.
14. Will perform duties of a recruiter when requested and other duties as assigned.
Qualifications:
- Associates or Bachelor’s degree from an accredited college or university.
- The ideal candidate will have 3 years of related experience.
- Intermediate technology skills required to include knowledge of Microsoft office suite of programs including Word, Excel, and PowerPoint.
