Job Summary:
We are seeking a friendly, organized, and professional individual to join our team as a Receptionist. The successful candidate will be the first point of contact for our company, managing the front desk, greeting visitors, and handling various administrative tasks. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to multitask efficiently.
Key Responsibilities:
- Answer and Direct Calls: Manage incoming calls, screen and forward to the appropriate departments or personnel, and take accurate messages when necessary.
- Administrative Support: Assist with various administrative tasks, such as data entry, filing, and handling incoming and outgoing mail.
- Appointment Scheduling: Coordinate and schedule appointments and meetings, ensuring all parties are informed and prepared.
- Customer Service: Address inquiries from clients and visitors in a courteous and timely manner, providing accurate information about the company’s services and operations.
- Security: Monitor visitor access and maintain security protocols by issuing visitor badges and maintaining visitor logs.
- Office Supplies: Keep track of office supplies inventory and place orders when necessary to ensure the smooth operation of office activities.
- Coordination: Collaborate with other departments to ensure smooth communication and operations within the company.
Job Requirements:
- High school diploma or equivalent; additional certification in Office Management is a plus.
- Excellent verbal and written communication skills.
- Proficient in MS Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Customer service-oriented with a positive attitude.
- Dependable and punctual with a strong work ethic.
- Ability to handle sensitive information with confidentiality.
