The Richmond Neighborhood Center is a nonprofit organization dedicated to supporting the Richmond District community through our innovative youth programs at nine local public schools, robust food security programs, accessible wellness classes, and community events and activities. For over 40 years, we’ve worked tirelessly to nurture this diverse San Francisco neighborhood and foster respect for all people.
About the Role
Reporting to the CEO, the Executive Assistant provides a wide range of administrative support to and executes special projects for and on behalf of the CEO. The ideal candidate will be skilled at communicating successfully with a variety of stakeholders and will possess the following skills and qualities: resourcefulness, confidentiality, and initiative, excellent people skills, superior written and verbal communication abilities, the ability to work both collaboratively and independently, and the ability to effectively multi-task.

Knowledge, Skills, and Abilities:
Experience:
- Required: Minimum 3 years experience in supporting Executives or C-Suite positions, preferably in non-profit or social service fields.
- Excellent computer skills, including GSuite, Adobe Acrobat, Microsoft Office (especially Excel). Knowledge of Canva or other graphics programs desired
- Ability to maintain confidentiality and exercise discretion
- Ability to work independently and prioritize tasks effectively
- Exceptional organizational and time-management skills; able to successfully meet deadlines

Requirements for All Staff:
- Able to weave equity and cultural relevance into all aspects of planned activities. Able to plan and facilitate programming intentionally. Understanding of marginalized communities. Strong advocate for youth voice and leadership.

Key Responsibilities:
This position will be responsible for a variety of duties, including, but not limited to:
Executive Support
- Work directly with the CEO to support all aspects of their daily work routine, including managing their schedule and calendar.
- Proactively help CEO to develop administrative support strategies and processes that clears up their schedule to focus on critical oversight and outreach.
- Demonstrate proactive anticipation of executives' needs; anticipating problems and hurdles and taking preventative action independently
- As a thought partner, provide proactive feedback, guidance, and encouragement to support the CEO in achieving their objectives
Administrative Support
- Provide high-level administrative support to the CEO, including composing business emails on their behalf, drafting communications for them and/or reviewing communications and documents for accuracy, completeness, format, and grammar, receiving and directing calls and visitors
- Organize, schedule, and attend meetings, including preparing agendas, gathering documents and attending to logistics; taking and distributing notes
- Serve as a liaison between the CEO and internal staff, board members, donors, and other stakeholders, fostering positive relationships and effective communication
- Assist CEO in relations with the Board of Directors, including managing board governance and adherence to by-laws and city ordinances, organizing and attending board/committee meetings, take and distribute minutes, organize files and documentation, ensuring materials are up to date, manage sharing permissions of board related files
- Prepare, reconcile, and submit expense reports
Project Management
- Provide coordination, monitoring, and communication for projects and programs under the purview of the executive, tracking project timelines, budgets, and resources to ensure efficient progress and successful outcomes
- Coordinate and follow up on action items resulting from meetings, ensuring timely completion by all parties
- Research and/or analyze data and develop reports for management decision-making
- Judge the time-sensitivity and priority of issues and keeps the executive advise, ensuring appropriate follow-up
Job Type: Full-time
Pay: $38.46 - $44.52 per hour
