Job Summary:
The Administrative Assistant must be team oriented, proactive, and goal driven. This position is responsible for providing administrative support to the testing laboratory. Duties include general clerical, receptionist and project-based work. Work is performed under the general supervision of the Lab Manager/Office Manager.
Responsibilities:

Review client reports for typographical errors;
-
Ensure information per report agrees to chain of custody form;

Responsible for work orders containing ASTM test procedures, all Center Point Energy, Chesapeake, Energy Transfer, and interlaboratory work;

Log-in samples that come to lab for analysis;

Prepare files for work orders and organize information in preparation of invoicing;

Ensure all files have appropriate support (i.e. backup information);

Create client invoices by work order and proof month-end client invoices;
-
Submit reports and invoices to client by fax, mail, or electronic format;

Initiate collection efforts on accounts past due 31 to 45 days;

Assist clients with problems and questions;

Answer telephones and transfer to appropriate staff member;

Meet and greet clients and visitors;

Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing;

Sign for and distribute deliveries/packages;

Project a professional company image through in-person and phone interaction;

Other duties as assigned.
Requirements:
- Minimum 1-year experience;
-
Basic reading, writing, and arithmetic skills required;
-
Knowledge of telephone protocol. Duties require professional verbal and written communication skills;

Strong organizational skills;
-
Ability to multi-task, prioritize, and perform efficiently under time constraints;
-
Knowledge of Microsoft Windows, Outlook, Word, Excel, Adobe Acrobat, and the Internet.
Education:
High school diploma or GED.
Relocation:
This position is not eligible for relocation.
Travel Requirements:
This position does not require travel.
Work Schedule:
This position will work 8 hours, Monday-Friday in the Floresville, TX Office. This position is subject to overtime availability to meet deadlines.
