HireArt is helping Carta find a Receptionist to work onsite at our client's San Francisco office. As Receptionist, you’ll juggle several tasks at once while maintaining a customer service-oriented attitude, serving as the first impression for customers, vendors and visitors.
The ideal candidate has the focus and organizational skills needed to track/set appointments, manage scheduling changes and coordinate office communications.
As a Receptionist, you will:
- Be the face of the headquarter office in San Francisco.
- Greet visitors/vendors in a professional and personable manner while notifying the appropriate stakeholders of guest arrival.
- Manage the requests of employees in a timely manner.
- Oversee the guest management system (Envoy)for all guests to sign in.
- Monitor the entrance badging platform and generate keycards for building and office access.
- Perform administrative duties as assigned by your supervisor and other senior office staff members.
- Maintain the office calendar and conference room schedule.
- Receive incoming packages and mail and route them efficiently.
- Learn office technology and remain up to date on its operation as technology changes.
- Keep the reception area, guest areas and conference rooms orderly.
- Assist with event planning and execution both on-site and off-site.
- Partner with senior office staff to support with in office responsibilities as needed.
- Previous administration, reception, or front desk experience
- High School Diploma
- Proficiency in GSuite, Microsoft Office, Slack (or equivalent), and other office applications
- Highly developed written and verbal communication skills
- Able to communicate effectively with a wide range of people

Commitment: This is a full-time (40 hours per week), ongoing contract opportunity, staffed via HireArt. This role is onsite and available to candidates based in San Francisco, CA.
