As an Operations Manager in our property management company, you will play a pivotal role in ensuring the smooth and efficient functioning of our operations. With a focus on problem-solving and process improvement, your responsibilities will encompass a diverse range of tasks aimed at optimizing our property management processes.
Key Responsibilities:
1. Operational Oversight: Oversee day-to-day operations of property management activities, including tenant relations, maintenance requests, vendor management, and financial transactions.
2. Problem Identification and Resolution: Proactively identify operational challenges and develop innovative solutions to address them. Utilize analytical skills to diagnose root causes and implement effective problem-solving strategies.
3. Process Improvement: Apply Six Sigma methodologies and tools to analyze existing processes and identify areas for improvement. Lead cross-functional teams to implement process enhancements, streamline workflows, and increase operational efficiency.
4. Team Leadership: Provide guidance and support to a team of property managers, leasing agents, maintenance staff, and administrative personnel. Foster a collaborative and results-driven work environment that promotes continuous improvement and excellence.
5. Quality Assurance: Ensure adherence to company standards and best practices in property management. Implement quality control measures to uphold the highest standards of service delivery and customer satisfaction.
6. Budget Management: Assist in the development and management of property budgets, ensuring cost-effectiveness and financial viability. Monitor expenses, identify cost-saving opportunities, and optimize resource allocation.
7. Risk Management: Identify potential risks and develop mitigation strategies to safeguard the interests of the company and its stakeholders. Proactively address compliance issues, regulatory requirements, and safety concerns.
8. Reporting and Analysis: Prepare regular reports and performance metrics to track key operational indicators, evaluate performance against targets, and identify trends. Utilize data-driven insights to inform decision-making and drive continuous improvement initiatives.
Qualifications
Bachelor’s degree in Business Administration, Management, or related field.
- Six Sigma Green Belt certification or higher.
- Proven experience in operations management, preferably in the property management industry.
- Strong problem-solving skills with a demonstrated ability to analyze complex issues and develop effective solutions.
- Excellent leadership and team management abilities, with a focus on fostering a culture of collaboration and accountability.
- Proficiency in project management methodologies and tools.
- Exceptional communication and interpersonal skills.
- Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.
Additional Qualifications that are a plus:
- Customer service experience in property management
- Strong knowledge of Fair Housing regulations
- Proficiency in property leasing processes
- Familiarity with LIHTC and Section 8 programs
- Experience using Yardi and OneSite software
- Legal administrative experience, particularly in landlord-tenant law
- Ability to handle conflict management situations effectively
- Sales skills in the real estate industry
- Knowledge of negotiation and contracts
- Previous office experience, including data entry and filing
- Familiarity with CMMS software for property maintenance
- Excellent phone etiquette and customer relationship management skills
