Chief of Staff
Fintrepid Solutions is seeking a Chief of Staff to play a key role in operations, marketing and executive support. Fintrepid Solutions is a fast growing entrepreneurial professional services firm that serves entrepreneurs. In this role, you will be wearing multiple hats, regularly interacting with internal and external stakeholders, and play a very important part in the firm’s continued evolution. Job Summary:
The Chief of Staff will have a mix of high-level administrative duties to support the leadership team, operations support, and marketing duties.

Duties and Responsibilities:
Partner Support
- Provides general executive support to the CEO and leadership team.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for the leadership team.
- Schedules and attends meetings on behalf of the leadership team, taking notes and recording minutes.
- Monitors, coordinates, and organizes the leadership team’s calendars.
- Coordinates and books travel for the leadership team.
- Monitors CEO email account and ensures email follow-up and assists in organizing inbox.
- Performs additional duties as assigned by the leadership team.
Operations Support
- Manages the Fintrepid Headquarters office
- Assists with new client setup and welcoming clients to the firm.
- Assists with bi-monthly client invoicing process by creating invoicing files and preparing and sending invoices through the company’s web-based system.
- Monitors outstanding receivables and facilitates the collection process.
- Provides clerical support when needed such as answering phones, sorting and distributing mail, depositing checks, and preparing documents.
- Tracks business expenses and client advance payments.
- Manages relationship with IT Support (3rd party provider).
- Maintains inventory of office supplies; orders new supplies as needed.
- Maintains office files; implements an efficient system for other staff to access files and records.
- Performs other related duties as assigned.
Marketing
- Collaborates with leadership team to draft and execute the marketing and branding campaigns, which may include social media and online media, print media, website content, and email publications.
- Gathers the materials necessary to understand the project and competition in the area such as literature or previous marketing campaigns; analyzes these materials to determine the most effective communications technique.
- Assists the leadership team in the coordination and generation of new client business
- Manages the Company’s social media pages.
- Manages website updates.
- Coordinates, plans, and oversees company events.
- Oversees gifting for clients, team members, and referral network.
- Performs other duties as assigned.

- Able to type a minimum of 60 words per minute.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Education and Experience:
- High school diploma required; Bachelor's degree in Business Administration or related field preferred.
- At least seven years of related experience required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Job Type: Full-time
Pay: $65,000.00 - $80,000.00 per year
