POSITION: Grants Manager - Children’s Services
REPORTS TO: Director of Grants and Budgets
CLASSIFICATION: Full Time

GENERAL DESCRIPTION: The Grants Manager is responsible for the overall review and analysis of our Children’s and Health Services programs. They are responsible for the claims, monthly revenue, cash, AR analysis, journal entries, and financial reconciliation for a portfolio of 15 grants.
MAJOR DUTIES AND RESPONSIBILITIES:
GRANT MANAGEMENT DUTIES:
- Should be familiar and well versed with Administration of Children’s Services (ACS), Collaborative and Health Insurances Policies, and procedures.
- Understand, monitor and uphold contract compliance requirements and work to ensure agency compliance.
- Generate and submit accurate monthly billings; prepare invoices to funders of all Children’s Services and Health Services programs and ensure maximum reimbursement from funding sources no later than 7 business days after the closing.
- Approve PAF (Personnel Action Forms) in Paycom and Purchases Orders in Sage system on a consistent and timely basis.
- Operate as a liaison between program operations, finance, and the funding sources; analyze budget variance and communicate with program leaders; also responsible for the claiming and interactions with all funding sources.
- Work with all auditors to respond to requests for information and provide necessary documentation to support transactions and accounting treatment.
- Prepare monthly accounts receivable schedules, reconcile Accounts Receivable schedules to the General Ledger, investigate and resolve any discrepancies no later than 20 business days after the month end.
- Ensure all transaction entries for programs are recorded by month's end, including all accounts receivable, accounts payable, and general ledger, and make necessary accruals and reclassifications, if needed.
- Prepare and submit Children’s Services annual budget and budget modification to ACS.
- Work on the SSOP report in conjunction with the Director of Grants.
- Responsible for recording private contributions for the agency in a timely manner.
- Uphold a professional demeanor, ensure timely communication and responses to emails, and follow-through on requests, as needed.
- Special projects as assigned.
SUPERVISORY DUTIES:
- Review Special Payments, Exception to Policy (ETP), Persons in Need of Supervision (PINS), and Medicaid claims prepared by Health & Children’s Services Finance Specialist.
- Review all certifications and movements submitted by the Health & Children’s Services Finance Specialist for accuracy and completeness.
- Review all payments received to be applied to proper invoices, recording cash receipts and application to proper G/L accounts, in a timely manner, no later than 7 business after receipt.
- Reconcile payments with Foster Parent Database by Health & Children’s Services Finance Specialist.
- Review and approve all journal entries, stipends, Foster Parent payments, and retroactive check requests prepared by the Health & Children’s Services Finance Specialist.
- Review and approve special projects as assigned to the Health & Children’s Services Finance Specialist.
SUPERVISES:
- Health and Children’s Services Finance Specialist
EDUCATION:
- Bachelor’s degree in Accounting; MBA strongly preferred.
EXPERIENCE:
- 5+ years of experience in a complex non-profit organization, working with multiple programs, funding sources and entities.
- Experience with juggling multiple priorities and strict deadlines.
- Sage intact experience is a plus.

- Extensive experience managing or working with state and city contracts.
- Demonstrate ability in managing time and prioritizing tasks to meet stringent deadlines.
- Able to maintain a high level of confidentiality.

- Meticulous proofing and follow up skills.
- Knowledge of non-profit and fund accounting as well as of government contracts
- Highly motivated and flexible
- Proficiency in MS office and Excel
Job Type: Full-time
Pay: $80,000.00 - $90,000.00 per year
