Job Description: Administrative Assistant
General Job Description:
The Administrative Assistant will provide administrative support to MHRS/EPD Programs as needed. Work closely with the Receptionist to provide front desk coverage and support clinical operations during lunch and after the receptionist leaves at 6pm daily to closing to ensure the front office is coordinated in an effective, and efficient manner at all times.
Duties & Responsibilities:
· Assist with all aspects of onboarding new hires
· Coordinate monthly EVS for all enrolled consumers to ensure consumers have active insurance
· Work with Billing Specialist to expeditiously resolve all denials and billing issues(i.e.: missing/expired insurance )
· Provide weekly intake report
· Maintain and update spreadsheet of weekly census; and provide a breakdown of the following:
· Total consumers enrolled
· # Medicaid
· #MCO
· # Medicare
· #Uninsured
· #Children
· Adults
· Act as Back up for front desk, when receptionist is busy; during lunch and from 6 pm- closing Monday to Friday when receptionist leaves daily and schedule appointments as needed
· Schedule Appointments for therapist after consumer is seen
· Do payroll 2x per month
· Provide office coverage alternate Saturdays/as needed
· Provide support to the QI Director as needed
· Maintain a current caseload list for each community support worker, and each therapist. Updates should be done weekly
· Inform Care Coordinator of all care points
· Enter CAFAS/Gain(SS) information provided by therapists into the system as needed
· Maintain a current spreadsheet of all licensed staff to track NPI #, CAQH #’s, expiration dates of all licenses
· Provide administrative support to COO as needed
· Be available to work on special projects when needed
· Report directly to the COO
· Other duties as assigned.
Preferred Qualifications:
· Bachelor’s degree
· Experience in filing alphabetically
· Exceptional customer service and communication skills
· Excellent organizational skills; able to handle multi-tasks
· Professional appearance and excellent work ethic
· Detail oriented and team player
· Proficient in Microsoft word, excel, publisher and Microsoft Office outlook
· Must pass metropolitan police clearance, criminal background check, child protection registry clearance, drug and health screening
