Description:
The Documentation Specialist will manage the flow of all documentation reports to ensure timely and accurate completion of reviews. The Specialist will train new Field Service Technicians in the report process and will also maintain all calibration field equipment for the Service Department.
Essential Duties and Responsibilities:

Write PSM (Process Safety Management) reports from documentation submitted by field service technicians to ensure the reports are completed and moved through the review process in a timely manner.

Review PSM reports to verify that all information regarding system description, sensor calibration, output verification, contact information, certifications and updates have no discrepancies or errors for OSHA documentation requirements.

Train new field techs on how to document work completed.

Log department calendar with status of all submitted reports.

Save all finalized PSM reports to the correctly named FTP folder and send finalized report to field personnel and Invoicing.

Partner with the Invoice Specialist to help manage payment portals and assist with invoicing.

Maintain all certifications or recertifications for field tech equipment that require recalibration.

Ship equipment to field techs upon request.

Print and assemble finalized reports as needed.

Prepare all printed reports for mailing to customers as needed.

Service printing, binding, and mailing equipment, keep inventory of all related supplies and order replacement supplies as needed.

Assist with updates to the Service department safety policy as needed.
Requirements:
Qualifications, Knowledge, Skills & Abilities:

High School Degree or equivalency (required).

Experience with technical writing or editing (preferred).

High attention to detail.

Excellent reading comprehension skills.

Excellent verbal and written communication skills.

Excellent interpersonal and engagement skills.

Proficient in common word processing, spreadsheet, database, and web-based applications.

Ability to multitask and remain organized in a fast-paced environment.
