SUMMARY: Under direct supervision from the Sr. Associate Director of Programs and Supportive Housing, the Database Processing Manager is responsible for overseeing, reviewing, and reporting out of data required for compliance in the Housing and Programs Departments. The Data Processing Manager will provide training and support to Program Managers and direct service staff to ensure complete and correct data entry occurs. Additionally, the Data Processing Manager will oversee the Intake Department consisting of 2 intake specialists.
DUTIES AND RESPONSIBILITIES:
- Supervises and oversee the work of 2 Intake Specialists in the Intake Department
- Assists AWARDS users with data entry issues, while working collaboratively with ASH Information & Technology Department as needed.
- Oversees data entry in the Homeless Management Information System, STARS and DARTS
- Maintains data integrity.
- Trains and support existing and/or new staff in entering data into internal or external data systems.
- Works collaboratively with the Database Administrator to develop Program Forms in AWARDS
- Completes all required monthly, quarterly, and yearly reporting of client demographic and
program outcome data
- Prepares data requests from all ASH Departments in a timely manner
- Consolidates data between internal and external systems to ensure accuracy
- Develops a system of monitoring data entry and data quality in all reporting systems
- Communicates staffing needs to HR and participates in recruitment and onboarding process as required.
- Assists in decision-making process for data collection and completing routine reports.
- Ensures programmatic data is compliant with regulatory requirements and agency contracts.
- Identifies long and short-term objectives for the Intake Department to improve outcomes and productivity.
- Works hand in hand with the Senior Associate Director of Programs to complete reports/ data requests from A Safe Haven Leadership.
- Establishes and maintains positive working relationships with other agencies and organizations in the community.
- Develops reporting systems for program metrics.
- Prepares reports in compliance with regulatory audits.
- Performs other related duties as assigned by management.
SUPERVISORY RESPONSIBILITIES:
- Directly supervises 2 employees within the Intake Department.
- Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
- Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
QUALIFICATIONS:
- Bachelor's Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.
- Computer skills required: Database Software (Access); Development Software; Internet Software; Payroll Systems; Spreadsheet Software (Excel); Design Software; Project Management Software; Word Processing Software (Word); Electronic Mail Software (Outlook); Presentation software (PowerPoint); and Publisher software.
- Other skills required:
o Knowledge of general principles and approaches for providing services to clients
experiencing housing insecurity, substance addiction, interpersonal trauma, and
criminal justice involvement.
o Must be empathetic, patient, and skilled at working with combat veterans, families,
youth, and single men and women. Must have ability to remain calm in crisis, hostile, or disaster situations.
o Must be familiar with shelter, public housing, and group living dynamics.
o Excellent supervisor skills (i.e., team building and coaching skills, with the ability to lead, encourage and train staff).
o Excellent interpersonal skills and ability to support clients through difficult and emotionally complex situations.
o Bilingual (Polish or Spanish) preferred.
o Knowledge of MS Office applications and various EHS systems.
o Knowledge of social service program design and administration.
