Expanding specialized medical marketing & communications firm needs a Project Manager to lead pharmaceutical and HCP programs and initiatives across client solutions. This position is responsible for managing all aspects of medical communications projects from inception to completion, including but not limited to, content development, advisory boards, and speaker training.
The primary aspects include the facilitation of multidisciplinary project teams, interfacing with each department within the company, meeting client and management expectations, establishing strong faculty relationships, and ensuring that programs remain on target and within agreed-upon parameters. The Project Manager is responsible for budget development, maintenance and reconciliation, managing external suppliers, keeping programs on time and focused on primary objectives, providing ongoing updates to internal team members and client contact(s), and resource management. The number of simultaneous programs managed by each Project Manager is dependent on the scope and nature of each initiative.
In order to perform these functions, the Project Manager must have strong verbal and written communication skills. He/she must also be highly organized, have experience leading multidisciplinary teams, be adept at multitasking and prioritizing activities, have strong financial management skills, and be able/eager to motivate others
Responsibilities:
Manage project tasks from client SOW sign-off through project reconciliation including, but not limited to, the following:
- Create and track project timelines
- Track project budgets
- Lead communication and manage submission and tracking of project deliverables through both internal and external resources including Medical, Editorial, Creative, Production, and Operations
- Manage accuracy of and effective coordination/organization of project-related folders on the server
- Develop project briefs (kickoff) in conjunction with other departments
- Review project materials to ensure client vision is followed and marketing/educational messages are met
- Develop, submit, and track asset submission packets via cloud-based content management platform (Veeva or similar) for Medical, Regulatory and Legal committee review
- Track association and journal deadlines for submission of applications and materials
- Support live/virtual meeting needs including client contact (precon), interaction with logistics manager, preparation of outgoing meeting materials, meeting reconciliation
- Approve vendor invoices based on approved estimates and submit to accounting for payment
- Produce and maintain client status reports and lead weekly status meetings
- Schedule and run internal project-specific meetings, as needed
- Prepare written communications for faculty and clients related to specific projects
- Identify, recruit and manage faculty as needed
- Participate in client discussions
- Work with operations to review contracts and SOWs for outside vendors
- Attend client meetings or live programs, as needed
- Manage and mentor team members
- Uphold PhRMA and OIG guidelines
Experience/Skills/Educational Requirements:
- 3+ years experience in promotional medical education or related industry
- 4-year degree in communications, marketing, or related field
- Solid understanding of ACCME, PhRMA, and OIG guidelines
- Solid understanding of medical education and pharmaceutical industries and programming
- Excellent organization skills
- Excellent interpersonal and communication skills
- Thorough knowledge of Microsoft Word, PowerPoint, and Excel
- Detail-oriented, proactive, dependable
