COORDINATOR - ACADEMIC SUPPORT SERVICES (PART-TIME REMOTE)

Truman College is looking for a qualified candidate for the Part-Time Coordinator-Academic Support Services position. The Coordinator- Academic Support Services (PT Remote) remotely coordinates and administers specific services and implements and executes processes in support of a college’s academic and operational functions. Position also performs administrative activities of a responsible and complex nature, working remotely in a variety of academic departments and settings, including the Office of the Vice President; the Office of the Dean of Instruction, or a college’s Professional and Personal Development (PPD) program. Remotely performs related duties as required.
GENERAL RESPONSIBILITIES:
- Remotely facilitates and coordinates the preparation of credit course schedules, working with Deans, administrators, and department chairs to create the courses in Campus Solutions (CS9), make teaching assignments, and initiate the opening of classes for student registration.
- Reviews and processes teaching contracts for full time and adjunct faculty, verifies teaching assignments, and ensures faculty are appropriately assigned to their courses in Campus Solutions (CS9).
- Liaises with Business Office and Human Resources to initiate and ensure the processing of various faculty and academic transactions including specials assignments, certificates of attendance, conference leave and professional development approvals, professional service agreements, and new faculty and Instructor hires.
- Prepares internal and external communications, utilizing various academic systems to update and compile data and various software tools including Excel and PowerPoint to prepare reports and presentations.
- Remotely responds to inquiries and provides information to faculty, staff, and students regarding District and college academic and student policies, guidelines, and/or regulations.
- Assigned to the Office of the Vice President, maintains information and records relative to faculty, teaching assignments, courses, and other academic data. Compiles data and prepares reports as directed.
- Remotely coordinates and administers the faculty credentialing process, compiling and reviewing required documentation against established guidelines. Prepares summary reports for supervisor’s review.
- Administers the student complaint and grade appeal process, remotely serving as a college’s ombudsmen and ensuring adherence to formal procedures for the review, response, and timely resolution of student concerns and complaints.
- Maintains the Vice President’s calendar and schedules appointments. Gathers information to prepare Vice President for meetings, including second-level search committee candidate interviews.
- Provides specialized administrative support for the efficient academic management of all instructional programs and major events held at the college.
Professional and Personal Development (PPD) Program
- Oversees PPD enrollment workflow operations, working closely with Admissions, Registrar, and other college administrators in planning and ensuring PPD course offerings are scheduled and available during student registration.
- Remotely assists prospective students inquiring about PPD classes; provides course information; completes registration cards to register students. Responds to students’ complaints, working with students, Instructors, and college administrators to resolve problems.
- Plans the schedule of PPD classes for each term, working with Dean and key stakeholders to review past enrollment trends, participating in the review of student and community needs for specific PPD classes, and determining class offerings for upcoming term.
- Schedules PPD courses in Campus Solutions (CS9) for student registration, entering course information including class section, course description, room assignment, Instructor, and course fee. Ensures classes are scheduled sequentially and follow a logical order of presentation.
- Prepares and processes Instructors’ contracts for each term; calculates Instructors rate of pay using District’s guidelines. Confirms Instructors availability to teach scheduled classes and submits contracts to District’s Workforce Development for review and approval.
- Remotely assists Instructors with their instructional needs including ordering of required textbooks or equipment, reserving audio/visual equipment; and ensuring Instructors receive needed support.
- Monitors registration activity for PPD classes and cancels classes that do not meet the minimum enrollment level goal. Ensures students, Instructors, and other college personnel are informed of cancellations.
- Prepares required forms and administrative paperwork for new PPD courses, working with District’s Workforce Development Office to obtain Instructor rates, price/fee for new classes, and approval to establish new course in college’s PPD course schedule.
- Coordinates work efforts with District Office on marketing strategies to promote PPD courses and offerings. Creates flyers to inform students and community of available PPD course; staffs information tables at college events to promote PPD courses.
- Maintains files of completed attendance rosters submitted by Instructors. Enters grades into Campus Solutions (CS9).
- Maintains and updates college’s PPD web page with current office and course information.
- Oversees the administration of special PPD offerings provided at individual colleges such as Spring/Summer Day Camp for children, aquatic programs, and cooking classes.
QUALIFICATIONS:
- A Bachelor’s degree from an accredited college or university in Business or Public Administration, Education, Public Policy, or a related field.
- Three to five years of work experience in a responsible administrative or program administrator role, preferably for a non-for-profit or higher education institution.
- A combination of education and experience may be taken into consideration based on the applicant’s credentials, provided the minimum degree requirement is met.
- Employees working remote are responsible for providing a stable internet environment with a connection speed of at least 300 megabytes per second (Mbps).
- All equipment provided by CCC to an employee must be connected to broadband internet through Ethernet connection.
- Strong collaborator who can work in a matrixed environment and team setting to accomplish goals in a fast-paced, dynamic environment.
- Proficiency in the use of Microsoft Office (Word, Excel, PowerPoint).
