Job Role and Responsibilities
The Medical Front Office and Reception Supervisor, Senior Patient Coordinator oversees the entire front office operations, reception area, and patient intake process. This role requires expertise in medical office procedures, insurance verification, patient registration, and staff supervision. Key responsibilities include:
Front Office Management
- Supervise and lead the front office/reception team to ensure efficient patient flow and exceptional customer service
- Develop and implement policies, procedures, and standards for front office operations
- Oversee patient check-in, registration, insurance verification, and co-pay collection processes
- Manage appointment scheduling, cancellations, and rescheduling requests
- Maintain organized and up-to-date patient records and files
Staff Supervision and Training
- Recruit, train, and develop front office staff to maintain a skilled and motivated team
- Conduct performance evaluations and provide coaching and feedback
- Create staff schedules and ensure adequate coverage during business hours
- Foster a positive team environment and promote professional standards
Patient Experience and Customer Service
- Ensure a warm, welcoming, and professional experience for all patients and visitors
- Address patient inquiries, concerns, and complaints promptly and courteously
- Maintain a thorough understanding of medical insurance plans, co-pays, and billing procedures
Administrative Support
- Collaborate with clinical staff and providers to facilitate smooth patient flow
- Oversee inventory management and ordering of front office supplies
- Assist with reporting, audits, and special projects as assigned
- Ensure compliance with HIPAA, practice policies, and healthcare regulations
Continuous Improvement
- Analyze front office operations and identify areas for process improvements
- Implement new initiatives and facilitate change management
- Provide input on enhancing the patient experience and service offerings
- Stay updated on industry best practices and healthcare regulatory changes
Job Type: Full-time
Pay: $62,000.00 - $83,600.00 per year
