Job Title: Licensed Real Estate Assistant

Job Overview: We are seeking a highly organized and proactive Real Estate Assistant to handle all aspects of our business operations, allowing our agents to focus on prospecting, following up with leads, attending showings, and participating in listing appointments. The ideal candidate will be a licensed professional with extensive experience in real estate contracts, the listing process, client relations, the escrow process, and administrative tasks.
Key Responsibilities:
Operational Management:
- Oversee daily office operations to ensure a smooth workflow.
- Handle all administrative duties, including managing office supplies and maintaining office equipment.
- Contract Management:
- Prepare, review, and manage offers, counter offers, RR, and listing agreements.
- Work with in-house transaction coordinator to ensure a smooth experience with all things contracts.

- Manage the entire listing process from start to finish.
- Prepare listing agreements, schedule listing appointments, and ensure all necessary documentation is complete.
- Coordinate with the marketing team for marketing and promotional material for listings.
- Serve as the primary point of contact for clients, ensuring their needs are met promptly and professionally.
- Build and maintain strong relationships with clients to foster repeat business and referrals.
- Oversee the escrow process, coordinating with all parties involved to ensure timely and accurate completion.
- Address and resolve any issues that arise during the escrow period.
- Manage calendars for team leaders, scheduling appointments, showings, and team meetings.
- Monitor and respond to emails, ensuring timely communication with clients and partners.
- Handle basic expense tracking for commissions and operational expenses.
- Prepare and submit expense reports to management for review.
- Schedule and staff open houses, ensuring all necessary preparations are completed.
- Coordinate with the marketing team for marketing and promotional material for open houses.
- Set up and coordinate closing appointments with vendors, ensuring all required documents and payments are in order.
- Communicate with all parties involved to confirm closing details and address any last-minute issues.
- Assist with any tasks or projects needed to move the company mission forward.
- Provide support to agents and team leaders to enhance overall business operations.
- Maintain meticulous records and ensure all documentation is accurate and up-to-date.
- Conduct regular audits of office processes and files to ensure compliance and efficiency.Requirements:
- Must be a licensed real estate professional.
- Proven experience with real estate contracts and the listing process.
- Strong client relations skills with a focus on providing excellent customer service.
- Extensive knowledge of the escrow process.
- Exceptional organizational and time management skills.
- Proficiency in calendar and email management.
- High attention to detail and accuracy.
- Must be a morning person with a proactive and positive attitude.
Compensation:
- $25 an hour during a 90-day trial period.
- Potential for increased compensation and benefits after the trial period, based on performance.
