We are seeking a dynamic and customer-focused Wholesale Coordinator to join our team in the Consumer Packaged Goods (CPG) food industry. The ideal candidate will be responsible for handling customer inquiries, processing orders, and ensuring a high level of customer satisfaction. This role requires excellent communication skills, problem-solving abilities, and experience in managing wholesale operations.
Principle Accountabilities
Wholesale Coordinator
· Answer questions about the company’s products or services.
· Provide proactive customer outreach via email, phone, or face-to-face interactions at trade shows.
· Listen to customer queries patiently and resolve them promptly; escalate unresolved issues to the appropriate person.
· Deliver accurate information about the company’s offerings.
· Maintain records of customer interactions in an orderly manner.
· Process orders and transactions efficiently.
· Track and manage Purchase Orders (POs), ensuring routing is completed if necessary.
· Follow up with vendors to ensure timely PO shipments.
· Relay any approved PO changes to buyers, including cuts, PO revisions, and delays.
· Resolve customer issues and troubleshoot technical problems.
· Research deductions and dispute them if applicable.
· Respond effectively to sensitive inquiries or complaints.
· Draft necessary documents, letters, or statements as required by the customer.
· Maintain accurate records of transactions and customer accounts.
· Coordinate with internal departments to find solutions and resolve matters.
· Maintain follow-up on customers to ensure their queries are resolved and they are satisfied with the responses.
· Answer phone calls and emails to provide information, resulting in effective business correspondence.
· Maintain and update transaction statuses for customer accounts.
Core Competencies
· Minimum of 2 years of experience in customer service, order management, or a related role within the CPG food industry.
· Industry Trade Shows including Fancy Food, Expo West, PLMA, (a plus)
· Proficiency in Microsoft Office Suite, especially Excel.
· Familiarity with ERP systems and order management software.
· Strong organizational and multitasking abilities.
· Excellent communication and interpersonal skills.
· Problem-solving skills and the ability to handle sensitive information with discretion.
· Ability to work under pressure and resolve issues promptly.
· Bachelor’s degree in Business Administration. On the job experience in lieu of degree will be considered.
