We are seeking a detail-oriented, experienced Payroll, Accounts Payable and Human Resources Administrator. This is a hands-on, busy position that reports to the Controller.
Payroll Processing (multiple companies; union\non-union; multi-state)
- Verification of timecards and downloading from timecard platforms
- Uploading data into accounting software
- Processing payroll
- Payments through direct deposit
- Processing payments to Unions and managing audits
- Processing all payroll taxes, garnishments, and deductions
- Processing 401k
- Processing monthly, quarterly, annual payroll reporting
- Process internal Certified Payrolls and record external reports
- Reconcile payroll bank accounts
Human Resources
- Facilitating onboarding paperwork and tasks with digital platforms, including Healthcare and 401k enrollment; Training Certifications; Direct Deposit and verification; Background checks, E-Verify, and reference reviews; and DOT requirements
- Process termination paperwork and tasks (exit data sheet, Cobra Letter, etc.)
- Maintain library of new hire paperwork
- Manage employment verifications, unemployment and worker’s compensation paperwork
- 401k Reporting and management of payments
- Manage all employee benefits and benefits payments
- Manage the random and DOT Drug test programs
- Maintain all administrative documents with up-to-date information
- Keep contact lists\databases current
- Annual review of DMV records
- Maintain and update labor rates information
- Create and maintain benefits information for prospective employees
- Develop and manage internship and apprentice programs
- Advise management on labor policies such as EEO and sexual harassment
- Manage recruiting for new positions (including job description development, advertisements, job fairs, initial screenings, interview scheduling, offer letters, etc.)
- Create and maintain a periodic company newsletter
Accounts Payable Processing
- Entering invoices into accounting software
- Save delivery receipts to the server
- Route invoices to the proper approver; ensure completion
- Posting after approved
- Set-up new vendors in accounting software
- Match Credit Card receipts with statements; call for missing receipts
- Assist the Controller and Senior Accountant as needed
Handling all Purchasing of office supplies and organization
Back-up for Front Desk duties such as answer phone and front door
Experience Requirements:
- Experience with running payroll (union and non-union) - at least 1 year
- Experience with human resources (onboarding paperwork, benefits, drug testing, etc.) - at least 1 year
- Experience handling accounts payable invoices and accounting software - at least 1 year

Pay: $55,000.00 - $65,000.00 per year
