Position: Urgently Hiring Catering Administrative Assistant
Summary: High-end catering company seeking full time support for small office environment. Candidate should be ambitious and enthusiastic, and willing to help with a little bit of everything that is required for office and event operations. Administrative Assistant must be a highly motivated individual with a passion for hospitality and a hunger for growth, who is eager and ready to accept additional responsibilities when needed and is open and willing to learn about the intricate catering & events industry.
This position will provide support to the Event Specialist/Director of Sales and the Director of Catering. The ideal candidate is personable, has superior organization skills and an eye for detail, and can multitask and complete projects in a timely manner. This person should demonstrate exceptional interpersonal skills and email etiquette. Administrative Assistant will be responsible for daily office and financial administration, event planning and catering support, and sales assistance.
Details & Compensation:
Salary commensurate with experience and industry standards. Opportunity for additional income from work at events outside of business hours – this is not required but is highly encouraged in order to better understand this unique field. Please share your desired salary when applying.
Responsibilities and Duties:
- Maintain client relationships
- Perform administrative responsibilities including answering phones, replying to emails in a timely manner, managing event calendar, filing, mail, and general office organization
- Track expenses and enter invoices, credit cards receipts, and petty cash
- Create event spreadsheets for various purposes as needed
- Format menus and proposals
- Coordinate weekly meal deliveries
- Assist in creating and distributing marketing materials
- Social Media
- Obtain and review vendor proposals and orders for events, request samples, etc.
- Assist with event preparation duties such as reviewing rental orders, creating menu cards, coordinating event staff, and communicating with outside vendors such as DJ’s, photographers, venues & valets
- Perform occasional personal assistant duties
- Assist with special projects as assigned
Qualifications and Requirements:
- COVID Vaccination
- Driver’s License and reliable form of transportation
- Knowledge of Microsoft Office Suite
- Flexible schedule
- Excellent oral and written communication skills (in English)
- Ability to adapt to a changing environment and handle multiple priorities
- Knowledge of QuickBooks preferred
- Previous event/catering or restaurant experience preferred but not required
- Knowledge of food, wine, and spirits a plus
