Job Title: Receptionist
Job Summary:
We are seeking a professional and organized Receptionist to join our team. The Receptionist will be the first point of contact for our company, providing excellent customer service to visitors and handling various administrative tasks. The ideal candidate must have strong clerical skills, computer literacy, and exceptional phone etiquette.
Job Duties:
- Sit at the front desk and greet clients in a professional and courteous manner
- Answer multiple phone lines and take appropriate phone messages
- Manage the office calendar by booking appointments and monitoring scheduling conflicts
- Schedule staff meetings and monthly lunches
- Manage maintenance schedule for the office
Contact Contractors
Schedule maintenance as needed for the office and grounds
Monthly meetings with the Office Manager
- Take detailed notes during by-weekly meetings, monthly TEAM meetings, and monthly maintenance meetings and format them onto the proper documents for all staff
- Order and maintain office supplies
- Develop a strong understanding of the firm's filing system and oversee the file organization of both active and closed client files
- Execute annual file purge
- Develop a general understanding of the firm's practice areas
- Draft and edit all forms of correspondence including letters, emails, and fax
- File, organize, scan, copy, and fax legal documents
- Prepare Estate Planning documents for mailing
- Follow detailed directions for mailing documents
- Track and follow up with estate planning clients to ensure documents are finalized in a timely manner
- Update the Attorney Referral List annually by reviewing it with the attorney
- File documents to their respective files
- Maintain digital filing database
Skills needed to work in this position
- Proficiency with Microsoft Office and Basic Google Suite (Gmail and Google calendar)
- Typing speed of at least 50 WPM
- Excellent oral and written communication skills
- Courteous and professional demeanor
- Ability to work as a team with attorney and staff
- Willingness to learn and take on new or different tasks
- Strong time management skills and ability to prioritize tasks
- Strong sense of discretion
Starting salary: $18/hour
3+ years' work experience is preferred
Benefits: Vacation; Sick pay; paid holidays;
Ability and willingness to work full-time: Monday thought Friday 8am - 5pm
Note: This is a full-time position with competitive compensation and benefits package.
