Who are we looking for?
We are looking for a qualified Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. Office manager duties and responsibilities include but not limited to maintaining medical and staff records and budgeting, scheduling meetings and appointments, making office supplies arrangements, greeting visitors, and providing general administrative support to our employees.
What will you do day to day?
- Supervise office staff, including all front desk staff and medical assistants
- Answer and screen high volume telephone calls in a courteous manner and record messages for providers and other personnel.
- Schedule patient appointments
- Check-in patients upon arrival at the office as well as check-out upon departure
- Obtain accurate information from patients and ensure all compliance forms are completed in full
- Maintain patient files/charts and all office records in a confidential manner
- Bill office visit claims
- Monitor billing payments and collect patient and insurance payments
- Verify account balances, provide information to patients regarding unpaid balances and reconcile all charges daily
- Manage office general and administrative budget, ensure accurate and timely reporting
- Maintain organization, efficiency, and cleanliness of front office, including office supply inventory
- File all records neatly and in appropriate sections in databases
- Coordinate with HR Department about onboarding processes for all newly hired office staff
- Liaise with doctors, nurse practitioners and all vendors of the medical office
- Instill sound moral, ethical, and business principles in the pursuit of exceptional patient care
We’re looking for someone who has…
- Bachelor’s degree in healthcare administration, Business, or relevant field preferred
- Proven work experience as a medical officer manager for at least five (5) years
- Knowledge of certain programs or databases including Scheduling systems, medical record system, insurance platforms
- Experience with Medical Billing
- Proficiency in MS Office (Excel, Word, Outlook)
- Knowledge of office administrator responsibilities, systems, and procedures
- Knowledge of medical issues and terminology
- Excellent organization and time-management skills
- Strong customer service skills
- Excellent written and verbal communication skills
- Bilingual (English and Spanish), required
