Job Summary
Provides more advanced administrative support to a department or group that has one or more managers and multiple team members. Balances the priorities of department members to complete assigned tasks in order of importance or priority. Creates and maintains departmental organization charts and manpower counts. Writes and updates departmental SOPs. Tracks departmental assets and licenses.
Responsibilities
- Provides more advanced administrative support such as preparing confidential correspondence and more detailed reports and presentations.
- Collects and compiles the data necessary to create said reports and presentations. Prepares meeting materials and ensures enough copies for all participants.
- Creates and maintains departmental organization charts and manpower counts.
- Writes and updates departmental SOPs.
- Tracks departmental assets and licenses.
- Reviews and approves contractor invoices.
- Coordinates departmental charitable programs and holiday events.
- Assists department head with departmental floor plans and coordinates workspace moves.
- Orders displays and assists with other arrangements for industry or special events.
- Performs other duties as assigned.
Qualifications
- Associate's degree in a related field.
- 2-5 years of relevant experience.
- Intermediate level of experience using Word, Excel and PowerPoint.
- Ability to collect and summarize data.
- Strong attention to detail.
- Strong organizational and time management skills.
- Ability to balance competing priorities.
- Ability to prioritize requests from various managers and other department/group members.
- Good written and oral communication skills and good presentation skills.
- Knowledge of the organization structure as a whole.
