Description:
The University of Illinois Chicago Transportation department seeks an experienced Office Support Assistant. The Office Support Assistant will support the Director of Transportation, Sub Foremen, Movers, and other personnel within the Transportation facility. This position will assist with high-volume customer service, scheduling and canceling reservations, scheduling vehicle maintenance appointments, filing appropriate paperwork, arranging internal billing, distributing rental vehicles, creating work orders, data entry and polling, and preparing Excel spreadsheets and monthly reports.
Duties & Responsibilities:

Tasks include filing paperwork, answering multiple telephone lines, data entry, copying, scheduling moves, creating Excel spreadsheets, and managing work orders through FMWeb. This involves communicating with university departments to provide answers and quotes/estimates on projects, coordinating with foreman and subforemen on daily, weekly, and monthly schedules, sending messages to proper personnel, providing information on transportation department services, and submitting service requests.
- Create and file month-end billing, fiscal year-end billing, daily/monthly invoices, mail distribution, copy machine maintenance, and assisting department staff members. Other responsibilities include ordering supplies and equipment for the unit with proper approval, monitoring and procuring maintenance services for pallet jacks and other moving equipment, and providing quality customer assistance.

Handle Preventative Maintenance Lists through FMWeb, create Excel spreadsheets, track monthly motor pool vehicles, create, process, and close Work Orders, notify departments (vehicle pick-up/drop off), dispatch towing vehicles, arrange emissions testing notifications (department notification), maintain Safety Lane Reporting—contact vendors to obtain quotes/estimates on vehicle repairs.

Provide customer assistance to departments/units (down vehicles, moving vehicles, mechanical questions). Assist Transportation with daily billing of rental cars, replacement vehicles, special assignments, and motor pool daily trips.

Communicate with departmental staff, assist other units within the Transportation facility, and submit service requests.

Assist with high volume rental service, department check-in for vehicle pickup, supply vehicle gas cards or I-pass, key distribution, paperwork approval, mileage verification, explain the return process of materials and vehicles, and answer questions regarding rates and availability. Enter employees in the Fuel Master system using UIN.

Update vehicle rental board, retrieve previous day rentals, check-in vehicle, filing (month-end vehicle billing, fiscal year-end billing, daily/monthly car releases), file (monthly reservation card/login/out sheets/gas card rental/vehicle log-in).

Other duties as assigned and participation in special projects as assigned.
Minimum Qualifications Required:
1. High school diploma or equivalent.
2. Any one or combination totaling six (6) months from the categories below:
A. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
- 15 semester hours equals six (6) months
B. Work experience performing office/clerical activities, including use of computer systems.
