The Léal hospitality group is looking for individuals who are passionate about hospitality and creating memorable experiences for our guests. The Assistant Event Coordinator will assist with coordinating each event to ensure timelines and details are followed and to ensure guests have a positive and memorable experience while attending any event, at any Léal property. The Assistant Event Coordinator will work closely with the entire event team to develop, manage, direct and oversee event operations.
Essential Position Functions: *
- Coordinate event details and timelines, ensure everyone is in the right location per the event schedule, and ensure events run on time
- Coordinate and attend culinary tastings, final walkthroughs, and rehearsals
- Work with the guest(s) of honor to ensure all requests are met
- Ensure staff is adequately prepared for event, coordinate staffing requirements and staff briefings
- Assist with setup and tear down of decorations as needed
- Produce details for events (timelines, BEO, layouts)
- Greet guests warmly with an appropriate greeting
- Communicate with the lead catering staff regarding any special needs
- Run event rehearsal – include instruction for ushers, family seating, and wedding party processional and recessional
- Coordinate with the florist, photographer, videographer, DJ, and minister upon arrival to review the event timeline
- Assist guests of honor with any special requests for the day of
- Maintain high standards for safety and cleanliness in all areas of the property
- Maintain proper dining experience, deliver items, fulfill customer needs, remove courses, replenish items and refill glasses as needed
- Assist with event operations and coordination as needed
- Communicate any areas of need, problems, and concerns from a guest to the Director of Weddings & Events
- Ensure that guests have a positive and memorable experience
- Being a team player is essential
- Perform all other duties as assigned
Required Education, Knowledge, Skills, and Competences:
- Bachelor’s Degree preferred (or in progress) – Hospitality, Marketing, Communications, Event or Meeting Planning – or equivalent experience in the hospitality industry
- Maintain a professional and polished appearance in adherence with the company dress code
- Will be required to travel to other locations within the portfolio on a frequent basis including starting your shift at different properties.
- Must possess exceptional interpersonal skills with the ability to build trust and relations
- Must have advanced computer skills; including working with the Microsoft Office Suite (including Excel), Aisle Planner, Google Documents, etc.
- Excellent organizational, planning, and follow-up skills.
- Problem-solving skills and deductive reasoning abilities
- Superior verbal communication and written skills required
- Must possess and maintain valid California Food Handler Certificate
- Must possess and maintain a current California Responsible Beverage Serving Certificate
- Must possess and maintain current California Driver License with a satisfactory driving record
- Drive company company vehicles including golf carts, at an appropriate speed and with caution
- Able to work under pressure and remain calm to resolve problems using good judgment
- Ability to work cohesively with co-workers as part of a team

Pay Range: The pay range for this role is anticipated to be $18.00 - $23.00 per hour and will be based on applicable and specialized experience and location.
