Job Summary:
The Office Manager and Bookkeeper is responsible for overseeing the daily operations of the office and managing the company’s financial records. This role ensures the office runs efficiently and effectively while maintaining accurate financial information. The ideal candidate will be highly organized, detail-oriented, and possess strong interpersonal and accounting skills.
Administrative Duties:
· Oversee and coordinate office activities and operations to secure efficiency and compliance with organization policies.
· Oversee office correspondence, including mail, emails and phone calls.
· Monitor office supplies inventory and place orders when necessary.
· Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
· Ensure office cleanliness and organization.
· Coordinate maintenance and repairs of office equipment.
· Work directly with and under the supervision of the Executive Director in providing data and other materials as requested.
· Assist with onboarding new employees.
· Supervise the Marketing and Development Manager and other office staff and volunteers.
· Coordinate office support for Children’s & Youth programs through their administrative assistant.
· Provide office support for Adult choir programs.
· Attend all public concerts for adults and youth, coordinating volunteers and monitoring box office.
· Attend quarterly Board of Directors meetings (Zoom) and record official minutes.
Bookkeeping:
· Maintain accurate financial records, including accounts payable, accounts receivable, and general ledger entries.
· Reconcile bank statements and track financial transactions.
· Process payroll accurately and on time.
· Handle payroll-related inquiries and issues.
· Prepare monthly, semi-annually and annual financial statements.
· Generate financial reports for management and board review.
· Manage donations for processing from individuals and funders including generating “Thank You” letter responses.
Qualifications:
· Bachelor’s Degree in Business Administration, Accounting, Finance, or a related field preferred.
· Proven experience as an office manager, bookkeeper, or similar role preferred.
· Experience with office management software (e.g., MS Office, Google Workspace) and accounting software (e.g., QuickBooks).
· Salesforce/PatronManager, Leap or similar CRM experience preferred.
· Square, Venmo, PayPal or similar systems experience preferred.
· Arts or non-profit familiarity preferred.
· Strong communication skills.
Skills:
· Excellent communication and interpersonal abilities.
· Detail-oriented with a high degree of accuracy.
· Proficiency in bookkeeping and basic accounting principles.
· Vendor/ticket management.
· Ability to handle sensitive and confidential donor information.
Other Duties:
· General office/clerical/project work. as needed.
Compensation/Benefits:
This position is full-time. The employee is expected to work from the Cantare office, maintaining work records using Cantare databases. There is flexibility regarding hybrid work hours; TBD with the ED.
Salary:
· $65,000 to $72,000 – based upon experience.
· Health Insurance, Dental and Vision Insurance, and offering of a CA Retirement Savings plan.
· Two weeks paid vacation.
