Job Title: Scheduling Specialist
Reports to: Clinic Manager
Shift Details: M-F 8:30am - 5:00pm
Key Responsibilities:

Coordinate and schedule patient appointments for a variety of imaging services, including MRI and X-rays.

Ensure accuracy in scheduling, taking into consideration the type of imaging, patient needs, and equipment availability.

Communicate with patients to collect necessary information, explain preparation instructions, and confirm appointments.

Address patient inquiries, concerns, and reschedule appointments as needed.

Verify patient insurance information to determine coverage for imaging services.

Communicate coverage details, copayments, and any out-of-pocket expenses to patients during scheduling.

Coordinate with manager, radiologic technologists, physicians, and other clinical staff to optimize the scheduling of imaging procedures.

Ensure that scheduling aligns with clinic protocols and patient care priorities.

Utilize the electronic health records (EHR) system to input and update patient information, appointment details, and insurance verification status.

Maintain accurate and up-to-date records.

Implement and manage appointment reminder systems, contacting patients via phone, email, or other designated communication channels to confirm upcoming appointments.

Work collaboratively with other administrative staff to optimize the overall workflow of the imaging clinic.

Identify opportunities for process improvement in scheduling procedures.

Provide exceptional customer service to patients, ensuring a positive experience from scheduling through the completion of imaging procedures.

Address and resolve scheduling-related issues promptly.
Qualifications:

High school diploma or equivalent; additional education in healthcare administration or related field is a plus.

Proven experience in medical office scheduling or a similar administrative role.

Familiarity with medical terminology and scheduling software.

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Clear and effective verbal and written communication skills to interact with patients, internal staff, and healthcare providers.

Strong customer service skills, including the ability to remain professional and courteous while addressing patient inquiries and concerns.
Physical Requirements:

Ability to move within the office environment to access files, office equipment, and workstations.

Normal or corrected-to-normal vision to read and analyze documents, appointment schedules, and electronic health records.

Sufficient hearing ability to engage in verbal communication during phone conversations and in-person interactions.

Adequate manual dexterity to operate standard office equipment, including computers, phones, and scheduling software.

Extended periods of sitting may be required for administrative tasks, data entry, and communication.

Ability to handle the pressure of a fast-paced healthcare environment, particularly during peak scheduling times or when addressing patient concerns.
