As the Front Office Receptionist, you will be the main point of contact in the office for all our patients. Excellent customer service and communication skills are critical, as you’ll oversee maintaining a welcoming environment and ensuring the smooth operations of things in the office. Must have the ability to manage multiple priorities and demands, on time and in a calm manner. This position reports to the Clinical Office Manager and takes daily direction/supervision from the Clinical Office Manager and Physician. We have an immediate opening for a part-time employee to join our team. The schedule is Monday - Friday from 7:30am - 12:30 pm with some occasional weekends and holidays.
How you will contribute:
We always do whatever it takes, even if it isn’t specifically our “job.” In general, you will be responsible for:

Answers phones in a professional manner and deals with customer needs expeditiously, screening calls, taking messages, scheduling appointments, and providing information as appropriate.

Create charts for patients and assist patients in completing registration forms, consents, and updates patient personal or financial data.

Maintain patient accounts by obtaining, recording, and updating the patients’ personal and financial information.

Contacting patients to schedule appointments, confirm appointments, and rescheduling appointments.

Retention/Follow up calls for new patient appointments.

Greets patients in a polite, prompt, helpful manner. Provides any necessary instructions / directions. Informs appropriate department / person of patient’s arrival.

Checking in/outpatients

Provide basic and accurate information in-person and via phone/email.

Handles charts as necessary for the day’s use and files records efficiently.

Maintains and updates current information on provider’s schedules, ensuring that patients are scheduled properly. Update calendars and schedule meetings.

Perform other medical receptionist duties such as filing, scanning, photocopying, transcribing and faxing.

Print and mail referring OBGYN letters and maintain log.

Manage incoming and outgoing faxes, mail, packages, and deliveries.

Maintain cleanliness and organization of the front desk area and waiting area.

Order front office supplies and keep inventory of stock.

Work with multiple departments to coordinate total patient care.

Document services to be billed by collecting and utilizing information from charts.
- Responsible for taking patient payment, procedure pre-payments, and past due balances and providing a receipt to the patient. Keep daily form log.
- Accurately post daily payments and charges to patient accounts

Initiate patient refunds once charges on patient’s account have been settled.

Request authorizations, review, and approve loan payments from outside lending companies.

Collect revenue/past due payments, patient follow-up to ensure payment of outstanding balances.

Respond to patient calls/correspondence regarding billing questions and financial policies.

Support Accounting Department by scanning and matching receipts/invoices in the financial system.
- Reconciliation of Labcorp/Quest billing

Monitor and record cash drawer balance daily. Responsible for balancing daily receipts. Responsible for auditing daily superbills and providing payment documentation to the business office.

Support Accounting Department by effecting daily and monthly close.
