**Overview:**
We are seeking an experienced and organized Office Manager to oversee the day-to-day operations of our office. The ideal candidate will have a strong administrative background and be able to effectively manage the office environment. This role is critical to the success of our team and requires a highly skilled and detail-oriented individual.
**Duties & Responsibilities:**
- Drafts documents for President and Executives including correspondence, memos, and announcements
- Conducts research and works on special projects as assigned by Executives
- Ensures timesheets and expenses are turned in on time by staff
- Reviews timesheets for accuracy and resolves discrepancies with employees
- Manages and tracks vacation time, sick time, and reimbursable expenses for employees; provides relevant information for payroll processing
- Creates invoices on a monthly basis, including billable time and reimbursable expenses
- Records and reconciles payments from clients; generates accounts receivable reports and other financial reports
- Follows up with clients on past due accounts receivable
- Runs and distributes ad hoc reports as requested; analyzes data using Excel and other reporting software
- Assists with completion of special projects as requested by various internal departments, or in support of requests from clients
- Applies investigative skill and analytical methods to look behind the numbers, assess business impacts, and make recommendations through use of healthcare analytics, predictive modeling, etc.
- Manage office supplies and equipment, including ordering and maintaining inventory levels
- Greets visitors, customers, and clients in a professional manner
- Exercises superior phone skills and customer service
- Manages an active database of client files, contacts, calendar, appointments and meetings
- Completes standard administrative processes such as mail processing, filing, scanning, copying, collating, and organizing
- Negotiate with vendors and renew contracts
- Collaborate with other members of the office team to ensure a smooth and efficient work environment
Education Requirement:
- Bachelor’s degree in Finance, Accounting, Math or Economics
- Highly proficient in QuickBooks, MS Office; Outlook, Excel, Word, and PowerPoint
Preferred Experience:
- Experience with team management and leadership
- Excellent organizational and time management skills
- Ability to manage and prioritize multiple tasks and projects
- Must have 2-4 years of increasingly complex experience in quantifying, measuring, and analyzing financial/performance management metrics with Excel
- High energy, self-starter, positive and can-do attitude
