Job Summary:
We are seeking an experienced and organized Office Operations Manager to oversee administrative operations and ensure smooth day-to-day functioning of our new U.S. office. As the Office Operations Manager, you will play a critical role in managing administrative functions and providing operational support to the U.S. office of our sensor manufacturing company. Your responsibilities will include overseeing office procedures, coordinating administrative tasks, and fostering a productive and efficient work environment for our team.
Duties:
- Supervise and manage daily office operations, including facilities management, vendor relationships, office supplies procurement, and maintenance of equipment to ensure a well-functioning workplace.
- Develop and implement office policies and procedures to streamline operations, enhance efficiency, and maintain compliance with regulatory requirements.
- Manage office operations budgets, expenses, and cost-control measures, preparing regular reports and forecasts related to administrative expenditures.
- Manage bookkeeping for the U.S. office in coordination with headquarters administrative staff.
- Oversee the planning and execution of office events, meetings, and travel arrangements for staff, ensuring logistical support and coordination as necessary.
- Act as a point of contact for employees regarding office-related inquiries, addressing concerns, and providing guidance on company policies and procedures.
- Support HR-related functions, such as onboarding new employees, maintaining employee records, and liaising with the HR department on administrative matters.
- Collaborate with cross-functional teams, including finance, HR, and IT, to facilitate seamless communication and integration of administrative processes.
- Maintain a safe and secure working environment, overseeing compliance with health and safety regulations, and implementing emergency procedures and protocols.
Qualifications:
- Bachelor's degree in Business Administration or a related field. Relevant experience may be considered in lieu of formal education.
- Proven experience of at least 5-7 years in office administration or managerial roles, preferably in a technology-related industry or manufacturing environment.
- Strong organizational and leadership skills, with the ability to multitask, prioritize, and delegate effectively in a fast-paced office setting.
- Proficiency in office management software, including MS Office suite and other relevant applications.
- Excellent communication and interpersonal skills, with the ability to interact professionally with staff at all levels within the organization.
- Attention to detail and problem-solving abilities, coupled with a proactive and hands-on approach to managing administrative tasks.
- Knowledge of relevant regulatory requirements and compliance standards related to office operations is preferred.
