Position Description
The Guest Services & Experiences Coordinator plays a pivotal role in the seamless execution of events hosted at City of Gonzales facilities and for City of Gonzales events. This role is responsible for overseeing all aspects of event planning and coordination and ensures that each event is executed flawlessly to meet and exceed client expectations. From initial client consultation to post-event evaluation, this role manages logistical, operational, and administrative tasks to guarantee a successful event experience.
Nature of Work:
The Guest Services Coordinator works under the supervision of the Director of Community Services. This role is responsible for daily operations including providing front desk services to guests, acting as an information source on various matters for patrons, and assisting the office needs. This role is responsible for planning and executing PACE produced community events & City holiday events at the direction of the Director of Community Services.

· Front Desk Operations:
o Greet visitors, guests, and clients with a friendly and professional demeanor.
o Answer incoming calls, take messages, and redirect calls as necessary.
o Manage inquiries via phone, email, and in person, providing accurate information about the facilities, services, and events.
· Client Consultation:
o Collaborate with clients to understand their event requirements, including goals, objectives, budget, and preferences.
o Provide professional guidance and recommendations to ensure alignment with the conference center's capabilities and offerings.
· Event Planning:
o Develop comprehensive event plans outlining timelines, budgets, and resource requirements.
· Logistics Management:
o Arrange all logistical elements of events, including room setup, equipment rental, signage, and transportation that the City is responsible for.
· On-Site Event Management:
o Oversee on-site event operations to guarantee smooth execution.
o Manage event staff, including ushers, technicians, and support personnel, to ensure adherence to schedule and quality standards.
o Address any issues or concerns that arise during the event promptly and effectively.
· Client Communication:
o Maintain regular communication with clients throughout the event planning process, providing updates, addressing queries, and soliciting feedback.
o Act as the primary point of contact for clients, offering professional assistance and support at all stages of event execution.
· Plan and execute City-hosted events
o Plan city-hosted events at the direction of the Director of Community Services
Competencies:
Employees must have strong verbal and written communication skills and organizational skills. Must be able to communicate clearly with staff and general public and provide clear, concise, and accurate information and excellent organizational and time management skills. Employee must be able to operate standard office equipment and office computer.
Work Environment:
The primary duties of this position are performed in a professional office environment, but are not limited to an office environment. The position includes interacting with patrons daily.
The Guest Services Coordinator must be prepared to be physically active and work under tight deadlines when needed. Coordinating events is a high demand and high intensity job, requiring effective multi-tasking, decision making, and problem solving in a timely manner.
While there will be a basic workday/week established for the position, the Guest Services Coordinator must be willing to modify those standard work hours on a daily or weekly basis in order to meet the needs of facility operations. Evening and weekend work will be required based on facility use and the nature of event rentals.

Education and Qualifications:
Position requires a high school diploma or GED equivalent and 3-5 years of related experience or training, or equivalent combination of education and experience.
Licenses and Certifications:
Applicant must have a valid Louisiana Driver’s License.
