We are seeking a highly organized and detail-oriented Sales and Reservations Coordinator to join our team at Hotel AKA NoMad.
In this dynamic role, the Sales & Reservations Coordinator will play a crucial part in overseeing day-to-day activities for our sales and reservations team and ensuring seamless operations within the hotel. As the first point of contact for clients in the absence of Sales Managers or Directors, you will be responsible for conducting property tours, answering inquiries, attending sales and client meetings, and providing exceptional customer service.
Key Responsibilities:
Reservation Management:
· Handle all aspects of room reservations, including inquiries, bookings, modifications, and cancellations.
· Maintain a thorough understanding of the hotel's room types, rates, and availability.
· Ensure accurate and timely input of reservations into the property management system.
· Confirm reservations with guests and provide them with reservation details.
· Assisting DORM with OTA reservations, applying payments, reconciling OTA commissions, and replying to extranet concerns
Group Booking Support:
· Assist in managing group reservations .
· Coordinate room blocks, rooming lists, and group reservation requirements.
Sales Support:
· Collaborate with the sales team to identify potential sales opportunities.
· Maintain organized records of client interactions and transactions.
· Assist with any internal correspondence regarding group events.
· Manage VIP reservations, do VIP Cards.
Communication and Coordination:
· Liaise with other hotel departments to ensure guest and client requests are fulfilled.
· Communicate changes in reservations and group bookings to relevant departments.
· Provide regular updates to the Director of Sales & Marketing and DORM.
Guest Relations:
· Respond to guest inquiries and concerns promptly and professionally.
· Ensure a high level of guest satisfaction by providing accurate information and personalized service.

Required Skills and Qualifications:
- Minimum of two (2) years prior experience in a role of similar responsibilities
- College degree or equivalent work experience in hotel reservations, front office and sales departments.
- Experience in Hotel PMS systems and CRM
- Reading, writing, and oral proficiency in the English language
- Familiar with Lanyon, CVENT, Opera Cloud, Synxis, TACS, SELL (CRM) management and Microsoft Office.
- Familiar with partner extranets; Expedia, NOR1, Webbeds, Booking.com, etc..
- Proficient in excel
- Ability to lift at least 20 pounds, check & walk rooms to provide final inspection of VIP rooms before arrival
- Intimate knowledge of surrounding area including but not limited to transportation, restaurants, retail, arts, cultural and recreational activities.
