Job Overview:
We are seeking a detail-oriented and organized Office Assistant to join our team. The Office Assistant will play a crucial role in ensuring the smooth operation of our office environment by providing administrative support and excellent customer service.
Duties:
- Greet and assist visitors in a professional and friendly manner.
- Check in and assist clients with utilizing equipment.
- Check out clients and accept credit card and cash payments.
- Manage social media marketing and events set up and breakdown.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Utilize Optimantra for scheduling, client forms, and accounting.
- Take inventory, process orders, and manage billing with vendors.
- Maintain a clean working environment.
Requirements:
- Proven experience in an administrative and social media marketing role.
- Strong organizational skills with the ability to multitask effectively.
- Excellent project coordination abilities to ensure tasks are completed on time.
- Proficient in CRM and billing systems as well as handling client requests professionally.
- Customer-oriented mindset with a focus on delivering exceptional service.
- Experience with Optimantra is a plus.
- Previous experience as a medical receptionist would be advantageous.
- Must comply with HIPPA code of ethics by signing a non-disclosure upon employement as well as knowledge of and adherence to rules set by the Oregon Board of Massage.
- High school diploma required.
- List of 3 professional references required.
