Overview:
We are seeking a detail-oriented real estate/Property Management Administrative Assistant that has experience in the real estate industry to join our team. The ideal candidate will provide crucial support in various administrative tasks to our internal staff, property owners, tenants and outside vendors ensuring the smooth operation of our office. Summary:
- Perform real estate general administrative duties including answering phones, managing correspondence, and organizing files.
- Assist in legal administrative tasks related to property management and leasing.
- Maintain property maintenance records and coordinate repairs as needed.
- Uphold phone etiquette standards when interacting with clients and vendors.
- Ensure compliance with Fair Housing regulations and property laws.
- List vacant properties in MLS and company website.
- Utilize Appfolio software for property management tasks.
- Support upselling efforts to maximize property revenue.
- Audit properties/owners and tenants’ information for mistakes or omissions.
- Verify leases and materials are accurate after tenant execution.
- Send all HOA complaints to tenant/owners and verify receipt of complaint.
- Follow up with tenants to verify completion, acquiring pics and closing out violation.
- Tenant move-outs.
- Coordinate with Maintenance Coordinator regarding future move-out utility transfer.
- Assist the Maintenance Coordinator in service requests and coordination.
- Communicate with the owner at the request of the property manager.
- Improve company systems and processes where necessary in order to better manage the entire portfolio.
- Assist in implementing and training potential new team members in software and processes.
- Maintain and audit filing standards at all times.
Minimum Qualifications
- Proven experience in administrative roles, preferably in property management.
- Must have experience as a real estate administrative assistant.
- High school diploma or equivalent required.
- 2 years residential property management/real estate admin experience.
- Current Nevada Real Estate License preferred.
- Familiarity with legal procedures and documentation related to property leasing.
- Knowledge of Fair Housing regulations and property laws.
- Proficiency in using Appfolio software is a plus.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal abilities.
- Bilingual a Plus!

Pay: $50,000.00 - $54,000.00 per year
