The Events Manager will be responsible for overseeing all aspects of event planning and execution, ensuring that each event is delivered seamlessly and achieves its objectives. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
KEY RESPONSIBILITIES
Event Information Management

Receive event information via pitches, emails outreach, cross functional teamwork, or from Field Marketing team.

Connect with the point of contact (POC) to gather detailed event information.

Schedule introductory meetings and request event decks, information, and past event recaps (pictures/videos).
Event Planning and Pitch Deck Creation
-
Build pitch decks in ASANA, including basic event information such as budget, date, time, setup, breakdown, venue location, guest count, sponsor cost, activation plans, and ROI analysis.

Present pitch decks to Executive team in live meetings or via email and share with Executive team via HOTSHEET prior to pitch meetings.

Manage approval process with Executive Team; move approved projects forward and organize denied projects in ASANA for future reference.
Event Organizer Coordination

Request and review invoices, contracts, W-9s, and payment information (ACH Wire, check address, or payment link) from event organizers.

Request the addition of new vendors to our ERP, ensuring all relevant team members are in the loop.
Activation and Budget Management

Build out activations and budgets based on greenlined events and quarterly event budget allocations.

Track event budgets using the Event Budget Tracker, considering additional costs for activations and labor.
Team Coordination and Debrief

Loop in teams for planning, including MSO Teams, BA scheduling, and Executive Team.

Manage requests for rentals, event production, in-house services, and photo/video coordination.

Coordinate with team for photo/video needs
Day of Operations

Conduct pre-event meetings to debrief teams on activations, giveaways, roles and responsibilities, conversation points, messaging, staff schedules, and event attractions.

Manage load-in, setup, and pack-out lists.

Conduct dry run content reviews

Manage event video/photos during the event
Other Duties

Supervises and motivates direct reporting staff by assigning duties to each employee, explaining how these duties are to be done and communicating how the successful performance of those duties will be measured.?

Monitors and corrects performance issues in real time, and appropriately documents issues and corrective actions.

Leads and directs the work of other employees and has authority for personnel decisions. Manages strategic hiring, people scheduling, performance management, corrective actions, and separations.

Must be able to work at least 40 hours a week. Flexible availability to work both day and night shifts plus some weekends.

Perform other duties as needed in support of business objectives assigned by supervisor.?

EDUCATION & EXPERIENCE

Bachelor's degree in Marketing, Business Administration, Communications, Hospitality Management, Public Relations, or a related field preferred

Minimum of 5 years of experience in event management.
REQUIREMENTS

Must be at least 21 years of age.

A valid driver's license with a clean driving record is required.

Ability to work flexible hours, including evenings and weekends, as needed.

Ability to travel frequently and out of state.
